Leaving an IT Company: What PF Formalities Should Employers Complete?

Dear Seniors,

I am the Manager of Operations at an IT company and I have a quick question regarding PF. When an employee leaves an organization, what are the formalities required to be done by the employer? Is there any form that needs to be submitted to the Provident Office with the details of the provident fund of the employee?

I kindly request you to guide me through the procedure of PF.

Dear Rupali,

The claim should be submitted after two months from the date of leaving services. Employees have to submit PF withdrawal forms (i.e., Form 19 and 10C) duly signed and stamped by the authorized signatory of the company to the PF Department. If the job period is less than six months, there is no need to fill out Form 10C (as it will not be applicable). Hope this meets your requirements.

Dear Rupali,

Form 3A is used to maintain the contribution in respect of each employee and submit it with the annual return along with Form 6A (details of employees and their contributions) after reconciliation with Challans and Form 12A.

Submission Date: On or before 25th April every year (Annual Return)

Form 5 indicates details of employees qualifying for membership of the provident fund for the first time during the month. This form is submitted along with Form 12A, Form 5, Form 10, and Challans for remitting the dues.

Submission Date: 25th of every month
