Seeking Advice: How to Create an Effective Daily Reporting Format for Our New GM?

I am working as a Human Resources Manager with an Educational Institute engaged in the publication of various types of educational materials. Ours is a small organization with a turnover of Rs. 6 crore per year. Recently, we have appointed a new General Manager. Now, our Directors want me to prepare a format for the newly appointed General Manager to report daily to the director through this report, enabling him to monitor all activities in each department. This format would allow him to review the daily activities in the organization department-wise. I have attempted to design such a report with a list of activities for each department so that he can provide his daily report related to each activity or state "no report for the day" if there are no activities on a particular day.

I would like to request the senior management to review this and suggest any improvements or provide me with any ready-made formats you may have.

Hey Ali,

He is the General Manager and not an executive. I guess he would be getting feedback from all his staff and then sharing his views and guidance with the Board of Directors (BOD). If that form that you put up, data will be coming from the lower-level staff; it's good. Start with one and then, with time, you can improvise. The reporting structure varies from company to company and institution. Nothing is perfect or ideal. It should suit your business requirements.

The ideal way, I feel, is first to have the GM's job description (JD), Key Result Areas (KRA) with Key Performance Indicators (KPI) put in place through discussion with the BOD. Based on the BOD's requirements, the GM can then plan his reporting sheet.

Thank you very much, Mitra. This will definitely help me. What I was thinking is, we should create a format where he can daily look at each and every activity of the department, so no activity can be left untouched in his operation. This way, a person can be more cautious and self-planned for their routine activities.
