Is It Really HR's Job to Sign Leave Forms for Employees? Seeking Clarity on Responsibilities

Janat
I am an HR Executive in an IT company. In my company, there is one employee who asked me to sign the leave application form on his behalf to his senior. He mentioned that it's the HR's duty, not his. I want to clarify whether it is the duty of HR or not.

Leave application should be filled out and signed by the respective employee who wishes to proceed on leave. The employee should then have their leave balances verified by the HR Department and noted on the leave application. Subsequently, the employee must submit the application to their immediate boss. Upon approval by the immediate boss, the application should be submitted to the HR department. This process ensures that the individual's leave is properly recorded in the leave register.

This is the duty of the respective employee to fill, sign, and get approval from his/her boss. Not HR duty.

Hi,

This is to inform you that it is not the HR's duty to sign employees' leave applications. He/she must sign it themselves and state the reason for the same.

Hello, dear. According to me, it is not HR's duty. One major duty of the HR Department is to keep and maintain records. You are supposed to collect the leave applications signed by the applicant who is applying for leave but not to sign them yourself.

Hope you are now satisfied with my reply.

Dear Sapna,

It is his duty to fill out the leave application, get it signed by his boss, and then submit it to HR. Please inform him of the procedure.
