Navigating PF and ESI: How Do You Manage Employee Formalities from Day One?

Please let me know the procedure for PF and ESI in the organization. How to handle all formalities from the employee's joining. What forms do we need to fill and maintain? If you are aware, could you please provide clear guidance on this.

Hi,

Once an employee joins an organization, the first step is to fill out Form 1 ESIC Declaration Form and collect two family photographs. Form 1, along with Form 3, needs to be submitted to the ESIC Branch office at least 10 days before the Date of Joining (DOJ) of the employee.

For PF, we need to collect Form 2 Nomination form from the employee and submit it to the EPF Department.

It is not easy to explain all the PF and ESI formalities in one line. It is not just Form 1 or Form 2; it is a statutory function. Therefore, you have to check some more details before taking the job. When an employee joins, you have to check whether he/she comes under such coverage, consider the age factor, family status, and whether they are already covered, etc.

If an employee joins our organization who was already covered under ESIC in a previous company from which he/she left, should we issue a new PIC to the employee or can he/she use the old PIC issued by the previous employer?

Kindly advise and describe the formalities and compliance.
