Comprehensive Guide to Factory Audit and HR Records Inspection

Hi all, greetings.

My company has asked me to audit our factories once every 3 months. As an HR person, what type of records do I have to audit? If anybody has any format or suggestions for this, please send them to me.

Hi Kanaka,

I have replied to the same query you posted on another thread but am posting again for the benefit of all. The audit has to be defined for each company separately as the business processes vary for each industry type. Basically, you will need to conduct an audit on the following departments within the branch. You need to prepare formats and checklists for each of these separately:
1. Accounts (proper documentation, bank and cash reconciliation, all payments properly authorized, etc.)
2. Employee records (proper maintenance of attendance register, leave records, applications, etc.)
3. Stock register (cross-check with the actual stock)
4. Stocktaking of official furniture/assets (checking with the actual and assessing the conditions as well)
5. Official documents (latest license from the Municipal Corporation/shops and establishment department, insurance, etc.)
6. All other business-related files (customer files, contract files, vendor files, etc. should be reviewed to ensure that the company standards/policies are followed in the contracts)

I have listed just a few; you can add more depending on the functions your branches perform. For every audit, you will need to have a different format and checklist to ensure that none of the items is missed when the auditor conducts the audit.
