ISO 9001:2000 Quality Management

I would kindly request the members to help me out. I have been assigned to improvise the ISO 9001:2000 system within my company. I have gone through the material given on ISO - International Organization for Standardization. Can someone please provide me with some help with the ISO 9001-2000 quality management system manual, forms, formats to be used, and some suggestions for proper ISO implementation.

I agree with Nashbramhall. I have spent one and a half years working on it. You might have some formats, but you need to map it with your systems.

The first step of implementation is to prepare a system manual based on the nature of your organization. For example, if your organization is solely involved in trading (import and sale), you can exclude clauses related to designing and development, monitoring, measurement of equipment, and tools, etc.

Secondly, prepare a quality manual that includes the Quality Policy of your organization, Quality objectives for the year, and the quality plan. Identify work procedures such as purchasing, storage, dispatch, etc., and create a workflow using tools like Visio or any other appropriate software.

Create a list of job descriptions and format them according to ISO standards approved by your organization. Develop an organizational chart for all areas of operation and establish customer contact and follow-up methods. This comprehensive approach will address most of the requirements of ISO 9001:2000.

I hope you are aware that the ISO 9001:2000 standard has been replaced by the ISO 9001:2008 standard in November 2008. You may need to contact your certification body to guide you through the transition to the new standard if you have not done so already. Shafeer Ali has addressed most of your requirements.

I think you have only been asked to improve on the existing ISO 9001:2000 System. The first step would be to update it to the ISO 9001:2008 version. This is easy as it requires only cosmetic changes. Your certification agency will provide you with the details of the required amendments. Many companies have the system in name only. This beautiful system is not effectively utilized by them.

Please review the procedures, if any, in your company and assess their effectiveness. Look for three key aspects: ACE (Adequacy, Compliance, Effectiveness).

Are you a lazy person? People take a lot of time to prepare these documents. How can you expect that someone will give it to you very easily? You can do one thing: just meet your consultant and get help to prepare these documents.

I don't think this person realizes that his company must go through a certification agency to be accredited. The agency will provide all the necessary information, but it costs money! This is not something you can do without going through a proper agency.

I think you have been asked only to update the existing ISO systems. The first step would be to update it to ISO 9001:2008. This is very easy. You can ask your registrar to convey the requirement of the new standard, and they will give the details.

Study the procedures existing thoroughly and look for:

A - Adequacy

C - Compliance

E - Effectiveness

ISO 9000 is a beautiful system. It requires true commitment from the top management. Many companies maintain the system for namesake and do not take real advantage of such a good system.

Hi,

From the mail, it is not clear whether the ISO standard is already implemented in your company or not. If it is already implemented, consult with the certification body to make the necessary changes to update it to ISO 9001:2008. Conduct a gap analysis and mentor your practitioners about the changes.

If you are inquiring about the first-time implementation of the standard, start by providing training at all levels regarding the importance of ISO and its benefits. Then, conduct a gap analysis, set your goals and objectives, and begin working on the documentation part.

Certification assessments, or periodic surveillance audits, against the ISO 9001:2000 Standard can only be conducted by an evaluator from a certification body that meets the accreditation requirements. However, it is indeed possible, and in some cases advisable, to carry out both assessments simultaneously. This approach can reduce overall time and potentially yield benefits in terms of integrated findings.

I would advise you to consult an ISO Service advisor if your organization is new, especially if it is the first time.

Requirements to Obtain ISO 9001 - QMS Certification

1. Your organization needs to have processes and procedures for each department. Although ISO 9001 mandates only six processes to obtain ISO certification (Document control, Record control, CA process, PA process, NC process, CCR process, etc.).

2. Your organization needs a Quality Policy, Quality Manual, and Quality objectives for the overall QMS framework.

3. Your organization needs to generate records of the Quality Management System after implementation. This will help auditors verify that procedures and processes related to QMS are followed and adhered to.

4. Once this is done, the next step is the Application for certification. An outside agency will conduct a document review audit, also known as the first-round audit, and submit their observations and non-conformities. They will assign someone to your organization to address these observations and non-conformities if any.

5. The final stage in this process is the Certification audit, also known as the Second audit, to review and verify whether the suggested changes are followed and implemented.

6. The agency will then award your organization an ISO 9001-QMS Certificate, which will be valid for three years. Each year, you have to conduct two internal audits and one final surveillance audit by a third party to verify the effectiveness of the QMS system.
