You need to mention which type of industry you are from. Each industry has its own set of parameters for reports. For example, an IT industry's requirements would be completely different from those of a manufacturing industry.

Hi Suman,

HR monthly report is not merely an MIS sheet; it's the detailed functions of the HR team processed in the particular month.

You can easily prepare the HR report in a Word document and paste Excel sheets of MIS information in it. Also, affix a certain document format that should be used uniformly each month. You can include the following topics in the HR monthly report:

- Preface: Glimpse of monthly activities that are included in the report, like recruitment, training, or any festival celebration or organizational gathering.
- Headcount: Headcount details of all employees as per their designation, departments, male-female ratio, etc.
- Recruitment: How many people were included in the board, the number of selections department-wise, designation-wise, hiring cost, offers that were turned down, etc.
- Training: Training programs that were conducted in the particular month. Name of the training, number and group involved, training costs if any, etc.
- Employee Engagement Activities
- HR meeting with employees
- Government Compliances
- Detail of any special event like an All Employee Meeting, Organizational celebration
- Attrition Report: Number of employees who left designation/group/gender/department-wise
- Other information

We had a system of Monthly Reports where we would inform the corporate about the number of new joiners, the count of people who had left the organization, expenses under various categories, as well as the events and meetings conducted in that month, etc.

I would like to, however, point us in a certain direction. At the beginning of the reporting period of our organization, you must have derived some HR goals or annual priorities from your annual work plan. This plan is derived from your organization's business plan, strategic priorities, or strategy. These terms essentially refer to your organization's long-term goals (5-year plan).

In HR language, we refer to these as HR metrics. Examples of some metrics include attrition rate, turnover rate, personnel inventory, percentage of payroll against total organization expenditure, recruitment numbers, recruitment costs, training sessions held, total training costs, and other HR metrics. You can search for examples of HR metrics on Google. Remember, every report should have a structure, including an introduction, summary, main report, future plans, etc. Good luck, and consider researching other resources to gain more insights. Googling "HR reports" may reveal valuable information available on the internet.

The following can be covered on a monthly/ quarterly/ annual HR report:
- YTD Churn (Employee Turnover) by Department/ Gender/ Employee Category/ Region.
- YTD Employee Demographics by Department/ Gender/ Employee Category (Junior/Middle/Senior)/ Region.
- YTD Recruitment by Department/ Gender/ Employee Category (Junior/Middle/Senior)/ Region.
- YTD Training (Manhours/ Participation Level).
- YTD Number of Grievances/ Disciplinary Actions.
- YTD Number of Transfers within the organization.
- Along with the above, HR recommendations and action suggestions, if required, for Management.

I hope you find it useful. Additional KPIs such as Absenteeism/ Sick Leave, etc., could be added as per organizational specific requirements.
