Confused About PF Statements? How Can Employers Provide Them Without a Set Format?

Please, can you advise about the PF statement? If we wish to get it, how can we? Our employees require their PF statements, but when we checked in the PF office, they informed us that we do not have any set format. I am confused; how is that possible?

Can the PF statement be given by the employer? If so, what's the format?

We receive annual PF slips for all employees and distribute the same to our employees. This is called an annual statement.

The PF cycle is from March to February every year. After this closing, they provide the employers with the PF slips. Also, if your employees are asking for PF slips, you can provide them with Form 3(A) and Form 6(A) for the time being. Form 3(A) gives the details of employee contributions throughout the year, whereas Form 6(A) provides the employee as well as employer contributions. This information can be obtained from your own office department, which is maintaining the PF contributions of every individual employee. Once you take the printout, the authorized signatory is required to sign it along with the company seal.

Please, can you guide me in detail on how to maintain PF records as I am new to this field and have to take care of this PF stuff for our employees?

What documents do we need to get from the employee? What needs to be maintained by the employer? How to process PF refunds? In case the employee requests a PF statement (Form 3A and Form 6A), how to prepare the same, etc.

The checklist of PF records is as follows:

1. PF Return of Challan every month along with Form 12A, Form 5 & Form 10. Form 2 of new joiners.
2. PF return in Form 6A along with Form 3A of every individual showing the contribution every month.
3. Copy of submitted Form 2.
4. PF & ESIC challan of contractual staff, if any.
5. All the correspondence done with PF department in a separate File along with the PF code allotment letter.
6. Separate file for withdrawal Forms 10C & 19.

Besides Form 10c and 19, what documents are required to withdraw Expatriates PF? How long does the process take, when do we need to submit the documents, and when will the money be transferred to their accounts?

We have sent a letter to the PF office requesting PF slips for all our employees in March along with the Annual returns. They have acknowledged the letter as well, and we have sent our colleagues for the same 2-3 times, but they were asked to come later, and so far we have not received the PF slips. Kindly advise on how to obtain the PF slips, who should be contacted, and how long it will take to receive them. Do we need to request the PF statement in Form 23, or will it be sent to us?

For PF withdrawal, first, it is necessary to fill up the forms No. 19 and 10C and submit them to the PF office. After that, they will send an acknowledgment of the receipt of those withdrawal forms. When an employee resigns, there is a two-month waiting period for processing, and after two months, the amount will be processed and credited to the employee's account as mentioned in the PF form. The same information will also be communicated to the claimant through a letter sent to their residential address, stating that the amount has been credited from the PF office. The total time period for withdrawal is a minimum of 3 months.

It is the right of employees to demand their PF slip. There is a simple way for you; when you submit your Form 3A and 6A at RPFC, you need to submit them with a D.B.F. (database file) generated by software. When you provide the D.B.F. in a C.D., the slips are generated automatically. By writing a letter for the issuance of the PF slip, you can issue the PF slip.

I am working as an HR head in a construction firm in Navi-Mumbai. In my company, we have different departments like sales, store, facility, and operation. Until now, we have been appraising all the team members in standard formats twice yearly. However, now I want to introduce separate forms for each department that cover their job profiles more comprehensively and other aspects like leadership and initiative, which we can keep common for all departments. Additionally, I also require separate forms for the Managers category and GM.

During withdrawal, one needs to submit Form 3A contribution card along with Forms 10C and 19. You can also submit the copy of Forms 5 and 10.

Dear Friend,

The annual statement in Form No. 23 contains the Employer's contribution, employee's contribution, interest accrued on the balance amount, any advance taken, and the balance amount at the end of the accounting year. This statement is usually issued by the PF authorities for the accounting year between August and September. It is the employer's responsibility to provide this statement to all employees. If there are any discrepancies in the statement, they should be brought to the notice of the authorities immediately.

ESI is deducted from both the sides, employee as well as employer. All the employees whose gross salary is below rupees 10,000/- per month are covered under ESIC. The calculation is made as follows:
- Employee side = Gross Salary * 1.75%
- Employer Side = Gross Salary * 4.75%
- Total = 6.5%

Is It Mandatory for the Employer to Share the PF Statement?

I haven't received anything from my last employer where I worked for more than 2 years. The company says that they haven't received the PF statement from the government.
