Transitioning to Electronic Attendance and Salary Records: What Are the Legal Steps?

Hello, all.

I work for a Limited Manufacturing Company. We maintain manual registers for Attendance Muster, Salary Register, Leave Book, etc., as per legal requirements. We are going for electronic processing of Attendance & Salary from the new financial year. Can anyone guide me on what is the prescribed format for maintaining these records and can we maintain electronic data generated sheets? If yes, what is the procedure to apply for maintaining electronic data to the labor office?

Dear Deepali,

You are working in manufacturing, and you have to maintain all records as per the different acts manually, such as the attendance register, salary register, leave record, etc. However, you can maintain the records electronically as well. In that case, you will need to obtain permission from the Director of Factories/Chief Inspector of Factories.

You have to send one copy of each format to him with a letter stating that you want to maintain records electronically. He will then issue permission to maintain records electronically.

Under the Shops and Establishment Act, to whom should I seek permission to maintain the records electronically? Is it the Labour Department, Labour Ministry, or the concerned Labour Officer? Our office is located in Coimbatore, Tamil Nadu. Kindly clarify this for me.
