Hi Sarika,
You need to communicate with all the statutory authorities such as ESI, PF, PT, and other government and local bodies about the change of address. Obtain acknowledgements on the letters after submitting them.
Xerox copies and such are normal practices. However, with regard to telephone lines, you must submit change of address letters. If necessary, you may need to surrender the existing lines to the department and apply for new lines. The same applies to mobile connections - provide detailed written information to all service providers.
Under the Shops and Establishments Act, you must obtain a trade license in the new area and also from the labor department. Properly inform the income tax, sales tax, commercial tax authorities, etc. A detailed communication should be sent to your vendors, customers, and service providers.
All your letterheads, envelope covers, employee ID cards, and business cards of all employees need to be updated with the new address. Some organizations may have the old address on their office files. In such cases, you can use stickers with the new address and paste them on the old files if you do not wish to change the files immediately.
Thanks and regards,
Kameswarao
