How Do I Format an Employee Instruction Email for a Nationwide Team?

Hi,

This is Yamuna, an HR coordinator working in a reputed FMCG company. Please let me know the format for an employee instruction through email to all the employees scattered all over India. Could you please guide me in this regard?

Dear Yamuna,

I understand your feelings, but this is still not possible in India. You can invite them by sending an induction mail for HR induction. However, in my view, it will not work at all. People will not take it seriously. Please call them to your corporate office. Don't put yourself on the fence.

You can use the following simple email format to introduce the new employee to all your employees located at different locations:

Dear All,

We are pleased to inform you that Mr. XYZ has joined COMPANY NAME as DESIGNATION in LOCATION (IF ANY). He has 10 years of work experience, and his last assignment was with PREVIOUS COMPANY NAME. His email id is [email protected]

We welcome NAME OF EMPLOYEE to our COMPANY NAME family.

Hi Yamuna,

In the email introduction of an employee, you can also paste the new join ee's small photograph at the bottom of your email. Apart from his/her experience, you can also share the new join ee's accomplishments or achievements in his/her previous job or during college days with everyone.

In my company, generally, we send a welcome mail to new joiners and cc all employees regarding their introduction to make them feel warmly welcomed. We also conduct informal one-on-one introduction sessions for the new joiners to meet the staff personally.

Here is a sample format for a welcome mail:

Firstly, you can give a sheet of paper with the following details to the new joiners (you can add whatever you feel) asking them to fill in:

1. People know me by
2. Date of Birth (DOB)
3. Sun Sign
4. Philosophy, etc.

Load these details onto a slide or flash (your choice) along with their photographs.

Since your firm is scattered across the nation, there must be common/group email IDs at your firm. So, send the above slide/flash to the IDs, reaching their inboxes.

You can add an appropriate caption like "Get to know your fellows/colleagues/friends, etc." and also wish them good luck.
