Feeling Lost on ISO 9000:2008 Implementation? Seeking Guidance from Experienced Peers

I am working as an Asst. Manager in a small-scale manufacturing industry. So far, one of our Senior Managers was the Management Representative for the implementation of ISO 9000:2000. But now, my Managing Director wants me to become the MR and make all the necessary changes for ISO 9000:2008. I have no prior experience regarding ISO, and whenever I approach the Senior Manager for help, he discourages me, citing excuses. I am having difficulty understanding how to begin the implementation process of the new ISO.

Kindly guide me on what steps to take so that I can successfully implement the ISO system in my company. We have the certificate, but strict implementation is lacking.

Don't worry. Take it as a challenge, and you are going to learn new things. First of all, read the Quality Manual thoroughly and then check that all the records/procedures are being followed as per the ISO Manual. Call your Activity Managers and discuss with them. Be strict for internal quality audit. If need be, take the services of an ISO consultant for a few months.

Dear Sandhya,

Much discussed on ISO 9001:2008. This has been implemented effectively on 13th November 08. I am attaching a file with the password as "chalchal," indicating separately the clauses where we need to concentrate, where we need to add procedures, and so on. No need to appoint a consultant. Please make sure of one thing that unless you implement it yourself, nobody is going to help you.

Hi Narayan,

As rightly told by Jagan, first go through the Quality manual and ensure that employees have also gone through it. In fact, you can stick printed copies of the Quality certificate at all workstations.

Secondly, discuss the SOPs being followed in your organization with the Departmental Heads and note down if any changes have to be made.

ISO requires a lot of documentation, so I would suggest you take the help of a good consultant.

As you have already mentioned, you are a certified company, so half of your bridge is crossed. So don't worry. ISO is nothing but: "Say what you do, Do what you say, Record what you did." So understand your key processes or activities in your company, its interlinking activities, then verify/align it as per ISO guidelines. There are plenty of materials available on the net, citehr itself. Spend at least 1 hour daily for ISO purposes alone. This will develop your knowledge and help you as well.

We recently went through an ISO re-audit in December. The material provided by members above is very useful. You shall also find a lot of content available on the internet for ISO.

Your company should have a QMS (Quality Management System). All the processes should be defined as per QMS. On the similar lines, prepare an HRMS (Human Resource Management System) which takes care of all the processes w.r.t. HR.

Recruitment, Joining, Induction, Pre-Joining Formalities, Verification Process, Confirmation, Performance Management, General policies - leave, CO, Referral, etc., Exit process, Termination, Clearance procedures, Job Structure Manual, Employee Manual, Training & Development (Plan, Objectives, Implementation, Capturing data w.r.t. training, etc.) - these are some of the documents you need to have in place.

Have standard forms, templates, checklists, guidelines, and standards for the above in place... versioning of documents, monitoring of versions of all the documents.

Hi, I am the Lead Auditor for ISO 9000. I would suggest taking Awareness Training or Internal Auditors Training on ISO. It will clarify all the requirements of the standard. Secondly, I suggest reading the manual and standard in parallel. This way, you will understand what the standard says and how it is maintained in your organization. If you require any help, keep me posted. I will help you out.

I also know a trainer who is a Principal Auditor certified by IRCA for ISO 9000 and can guide you.

Dear Narayan,

I read some of the postings advising you on how to go about it. I am of the opinion that many are oversimplifying the issue - things are not as simple as "Document what you do and do what you document". You should remember one thing - it depends on what type of certification agency has certified you. A good certification agency, during surveillance/recertification audit, would look into the "Continual improvement and Customer satisfaction" aspects of the standard and not just procedures followed.

In case you are certified to ISO 9001:2000, then you do not have much to do in implementing ISO 9001:2008. If not, you have to make a fresh beginning.

Hi there,

First, congratulations on the new job assignment. I'm sure your superiors have lots of confidence in you to give you this important task. Anyway, I can suggest just the same way that others have said to you:

1.) Familiarize yourself with the processes of your organization; read your company manual/policy.
2.) Undergo training on ISO 9001. Who is your certification body? Ours is TUV Rheinland. Whenever we need updates on their new regulations, they conduct refresher courses in our company. They will also certify you as the MR in your organization.
3.) Next, form a group of Internal Auditors in your company to help you verify or validate if the company policy/manual is being followed by all employees (SOP). In our case, the internal auditors conduct their audits 4-5 months before the external audit takes place. This will prepare you to address the non-conformities/non-compliance found by your internal auditors.

Hi Narayan,

What you have to do is to implement the QMS in your organization. First, you have to understand the requirements specified by the Standard. Once you do that, the next step is to develop documentation at different levels such as:

Level one - Quality Manual

Level Two - Procedure Manual for each function or operation

Level Three - Work Instructions

Level Four - Formats and records.

The best option is to consult some ISO consultants, and they would give you a clear idea of how to proceed.

I was involved in the AS9100 certification process for my company. I was assisting the MR. If you can specify your requirements, I shall help out with something that I have learned from my experience.

Dear Avinash,

As you have seen from various postings, people seem to have difficulty with ISO 9001, which is relatively simple. ISO 14001 is a different cup of tea since it is more technical and is basically concerned with environmental issues, risks due to pollution, hazards due to waste/pollutants produced in some industries, and safety of the environment and personnel.

Although ISO 14001 is aligned to ISO 9001, the documentation is quite complex and is to be prepared after studying the activities in the organization which cause pollution, hazards, and risks to human health/life. You cannot get ready-made documentation that can help you. You need help from experts.
