Your caption in the subject line does not match with the content of the post. I hope you meant to ask about the formalities after an employee leaves.
When an employee leaves, you have to prepare his Form 3A, the statement showing the contributions made in respect of that employee during the current year. Prepare Form 10 with particulars of the employee who has left. These forms are to be sent to EPFO, probably along with the monthly returns.
No further intimation is required to be given to EPFO.
If the resigned employee has not left India for permanent settlement abroad or if the employee is not a female employee who left your employment after getting married, wait for 2 months before forwarding his applications for the withdrawal of provident fund in Form 19 and withdrawal of pension fund or availing of the scheme certificate in Form 10C. If the resigned employee has left India for settlement abroad or in the case of a female employee leaving the establishment after getting married, the two months waiting period to ensure that he/she is not in any employment to which PF applies will not apply. As such, Form 19 and 10C can be forwarded to EPFO immediately after their departure.
Normally, Form 3A will be submitted along with the annual return in Form 6A. Since the Form 3 of resigned employees was sent in the respective month of their departure, a remark stating that Form 3A was sent on the specified date will be sufficient later on.
