Is It Right to Skip Warning Letters and Go Straight to Explanations for Latecomers?

Dear Sir,

I have a doubt in my mind. Please clear it. In my company, I had taken a report for the employees who are coming late to the office. As per the process, I had submitted it to the HR Manager in front of the General Manager.

What are we supposed to do in case of continuous latecoming? We are supposed to first issue a warning letter and then seek an explanation. However, my manager had not instructed anyone to issue a letter to those employees. Instead, she is taking their written explanations. Is this practice legally right or appropriate in terms of human resources? Please suggest what to do.

Hi, Jeeni.

Until and unless you issue a warning letter or a show cause notice to the latecomers, you cannot ask for an explanation letter. This scenario applies only when the law is involved. However, in internal issues between the general manager and the staff, the general manager can request an explanation letter using his authority.
