HR Executive Duties: What Are Your Responsibilities for PF and ESI?

Could you please specifically define the activities that come as responsibilities for an HR executive towards PF and ESI?

Dear Kaneage,

In regards to PF & ESIC, the following are the activities which HR Executives need to perform:

1. Fill the PF & ESIC forms (along with family photographs) of those who are eligible.
2. Submit the forms to the respective departments.
3. For PF - Provide the PF number to employees, and submit necessary statements such as Form 5, Form 10, and PF challans on a monthly basis.
4. For ESIC - Follow up with the ESIC department for ESIC Permanent cards, assist employees in locating the nearest ESIC doctor if required, and submit the ESIC challans on a monthly basis.
5. Submit the PF claim forms duly signed by the authorized signatory after an employee resigns.
6. Submit the half-yearly returns for ESIC and yearly returns for PF.

The above are some of the major activities HR executives need to perform.

Your clarification is good, but you should also include the following responsibilities:

- Every month, you should submit Form 12A (monthly return along with triplicate copy of challan) to the PF Department.
- If the company has more than 350 employees, ESI is treated as a major employer. Every major employer must submit monthly returns (challan copy) to the ESI local office and the ESI regional office major employer cell.

Thanks, Harshad, and also to you, Srinivas! I would like to pose one last question, and that is: what are the time periods of the year when we need to submit the PF and ESIC contributions to the respective regulatory corporations?

Dear Kaneage,

The PF contribution is required to be deposited to the bank by way of challan within the 15th of the following month, and ESI contribution by the 21st. You need to submit a copy of the received PF challan with Form 12AR along with Form 5 and 10 to the PF Office by the 25th.
