Do We Still Need a Manual Attendance Register with Our New Biometric System?

Dear Seniors,

We are in the retail of readymade garments and come under the Shop and Commercial Establishment Act. As per the Act, we are maintaining the Attendance Register (Form - G). Now we have installed the Biometric attendance machine for attendance. My question is: Is there any need for a manual attendance register to be maintained by signing the individual employees?

Can I know the HR registers to be used in a hospital for attendance, wages, leave, etc.? It comes under the Shops and Establishment Act.

You are in need of a manual attendance register to be maintained by having individual employees sign it. This is because the labor inspector will not accept it in soft copy.

Dear Ranajit,

You have not mentioned in which state your shop is located. If it is in Karnataka under Sec. 25 D of the Shops Act, permission is granted to maintain all these registers in a computerized format as a soft copy. The Act has been amended; hence, a hard copy is not required to be shown to the authorities.

If you are not in Karnataka, please check your state's act and rules.

Recently, I was discussing the issue with a few of the S&E inspectors. They are very cooperative and agreed that if we make the format provided by them in the soft copy, then we can maintain the same. They also informed that if we ask our biometric vendor to design the forms as per the S&E, then it will be a good idea. You can also request an exemption from the labor office if you have more than 500 employees.
