Importance Of Id Cards In A Company - DOC Download

Hi Nancy,

Others have told you about the importance of the I Card. Each organisation and employee can have different purposes of using I Card. There are also some organisations (generally small) who do not use I cards at all.

Apart from Security / access reasons I card also creates a bond between organisation and employee and also among employees. It also helps to create the sense of belongingness and teamspirit. Employees should feel proud to wear I card.

If your organisation believes in above points then you can enforce the proper procedure as regards issuance of I cards and making compulsary the wearing of I card.

First step towards this is to document the entire process and related policy /rule. This will include process for issuing I cards, Types of I cards, Rule making it compulsory to wear the I card, Penalties in case of violations, Rules, process in case of duplicate I card is to be issued etc.

After properly drafting the process / rules / policy get it veted / approved from your management and implement it. Publish / circulate it among all employees also make it a part of your induction program for new recruits.

If you do all above in a professional manner, then probably you will not have any problem.

Thanks & Regards

Creating, implemnting and rveiwing policies and sytems are one of key function of HR. You have got enough data to create an ID policy for the company. Its like a company product given at time of joining with an objective and taken back at time of seperation.
A weel drafted polciy will help create the acceptance. Also, see if evryone including top managemnet is following the rule. It helps in getting it re enforced.

Hi Nancy,

Please accept my advise as a senior colleague. I hope you wont mind it. Do not expect readymade solutions to each problem. As a professional you will have to understand and analyze the problem, give lot of thought to it, find out possible solutions and carefully implement the correct solution, knowing well pros and cons. Others may give you many solutions many of those solutions will be just a piece of information thrown at you without much thought. You will have to choose the correct solution, adopt it considering the situations and realities at your workplace, best known to you. Please do not expect to have everything readily available on the platter. There are no free lunches, you will have to think, work hard and come out with a practical solution. Please do not get into copy and paste culture.

Anyway I am further elaborating on how to write a policy. You may think over the structure and the contents and can come up with well thought out policy. I hope you will be making a good beginning by writing a simple I Card Policy and will go on to write many more HR Policies of more complex nature.

Please refer to attachment. I had thought of giving you only outline and few points of the policy but I have ended up with a 90% of policy needing only balance 10% tinkering from your side.

Thanks & Regards

Pl communicate in your staff that :-
1. ID card is the only proof outside your House, which marked your vital information like photo, name designation, location, date of birth, Employee number and most important your blood group and office contact details in emergencies..
2. if anything happens to you between from your house and office in emergency you will get a help from doctor, police on it.
3. last but not least if you died in between once you leave for your office and vice versa, people will know where to contact and send your deadbody.

hello all,

this refere id card info flow.
it is very useful.
Also I came through certian statement from amongst respectable member as belwo:-

All photo ID for a company should be made according to the Factories Act 1948 rule 110-A, Form no 36 it should cover the following:

(a) Name and address of the Factory:
(b) The full name and address of the worker:
(c) Date of birth of the worker:
(d) Date of joining the service in the factory:
(e) Recent passport size photograph of the worker:
(f) Signature or left thumb impression of the worker.
(g) Signature of Manager or Authorized Agent.
(h) Date of Issue.

In context to same please inform how does the factry act specified mentioned relate to same ( the act 104-A says onus of proving ;limits of what is practicable etc).Hoe does thios relate to filed of Id card then

My concern is mainly if i include the fields as specified referencing "FACTORY ACT", how do i corelate and witha what proof?

Kindly revert please ASAP.

Thanks with rgds

Dear All,
Importance of I Card
I too face a similar problem in my company but I keep on reminding people and ask them to give treat to the entire company and in order to avoid the same people see to it that they wear the IDs. Not only that but I have also asked people to speak only in English or Hindi for L4 people so that the communication of employees can be improved.
Thanks & best regards,

Nancy:
The question some employees ask "what is the use of wearing ID card" needs to be given serious thought as well in todays work env. Many companies have discontinued this practice due to advancement in technoogy as well.
The use of ID card may be viewed by considering the followig situations as well:
1. If ur company follows a strict uniform policy, than ID cards may not be required, as the uniform itself signifies that the wearrr is an employee & abides by code of conduct
2. In case you are into Airlines, Banks, R & D, etc. where access controlled security is of paramount importance, ID cards are definetely required.
3. In many org, ID card is used as time punch cards as well. In case, u have finger scanning machines for time & access control, than ID card per se may not be required.
