Why Do Some Employees Resist Wearing ID Cards at Work? Seeking HR Insights

Hi All,

I would like to know the importance of using ID cards in an IT and non-IT company. :huh: In my office, many of the staff are not using the ID cards. When he/she is asked to wear the ID cards, they are counter-questioning what is the use of wearing an ID card in the company. Some of the staff who recently joined our company are from IBS and Accenture. When those people who come from such a professional company ask such questions, I really feel pity for them. :( So please HR's help me out. :huh:

ID cards are for the identity of a person, and moreover, they are a part and parcel of HR policies. When we talk about professionalism, everything comes into play starting from the dress code, behavior, attitude, and also the ID cards. Moreover, in our company, it is a must for us to use ID cards, and the reason for that is the delegates or the customers who come from outside to visit our campus.

Most of the external people will not ask about the person's name; instead, they peep into the ID card. That is how it works. When people don't listen to us, then we should make them listen. For example, if you attach the ID card with the access card, then it is a must for them to carry that, at least to swipe attendance and to check in their in and out timings.

The importance of ID cards is taken into major consideration both in the office or office campus and outside the campus (public places). The ID cards signify the employee's branding and respect in the work culture they represent. For example, in our organization, it is mandatory for everyone to have ID cards either worn around the neck or fixed on a belt. Since I work in the core systems of Google, it is equally important to have my ID card, biometric card, and GPRS navigation handheld device with me.

The importance of the ID card can be emphasized by making it mandatory to link it with your Employee Performance Report. It should be compulsory to have ID cards during working hours, meetings, or any subordinate's visit to a senior.

Dear Nancy, another issue might be that your ID card design must be unattractive to employees. Therefore, kindly try to make the ID cards more appealing. Perhaps this will help.

ID cards are used to prevent unauthorized persons from entering the organization for our security purposes, i.e., Data Security. Different ID tags are assigned according to the job profiles in the organization; for example, Visitors' ID Cards are tagged with RED Colour, Employee ID cards with Blue colour, and Security and housekeeping personnel with Yellow color. These three categories of people stay in the organization, so we can easily identify the person based on the tags. Another example is that if employees stay in the office late into the night, the police may interrogate them on their return in the late hours, where an ID card serves as proof of engagement in office works. Employee ID cards are mostly useful for opening bank accounts, getting mobile connections, etc., where the ID card holds significant power in marketing the organization.

ID cards are used to prevent an unauthorized persons to enter in to organization!For our security purpose i.e) Data Security where Ex ID tags are differed according to the job profiles in organization Ex:Visitors ID Card's it must be tagged with RED Colour ,Employee ID card Tagged with Blue colour! For Security and house keeping people Yellow colour! These three category people stays in organization so we can identify the person according to the tags very easily. And one more example if employees stay in office long mid night hours Police may interrogate him while he/she in return in midnights from office where ID card is a good purpose to show that he engaged in office works! Employee Id cards mostly useful for opening bank accounts/Mobile connection/etc...Where ID card has much more power it markets about organization.

We are the management team responsible for creating value within the organization. If any staff member questions you, you must strengthen your rules for implementation:

1. No entry into the organization without wearing an ID Card.
2. Non-compliance with wearing an ID Card should result in a financial penalty.
3. There should also be consequences such as promotional losses, like red marks on the employment record, to deter violations of the rules.
4. Implement strict regulations similar to those in ministries/hospitals where entry is restricted without proper identification or gate pass.

We emphasize the importance of documentation over individual employees. Once rules are established, they should not be broken.

Follow these guidelines and observe the results.

My advice is to change your security guard for one week. The new guard will not entertain these employees until they wear or bring their ID to show him.

The problem which you are facing is the same with our organization's people. In every company, whether big or small, there exist such types of individuals who find mental satisfaction while breaking rules. What we tell them is that it shows their professional approach and belongingness to the company. Moreover, it helps in image building as well. As prevailing in our company, we impose a nominal fine on a per day basis for persons who do not abide by such practices.

Others have told you about the importance of the ID card. Each organization and employee can have different purposes for using an ID card. There are also some organizations (generally small) that do not use ID cards at all.

Apart from security/access reasons, an ID card also creates a bond between the organization and employees, as well as among employees. It helps to foster a sense of belongingness and team spirit. Employees should feel proud to wear their ID card.

If your organization believes in the above points, then you can enforce the proper procedures regarding the issuance of ID cards and make wearing them compulsory.

The first step towards this is to document the entire process and related policies/rules. This will include the process for issuing ID cards, types of ID cards, rules making it compulsory to wear the ID card, penalties in case of violations, and the process in case a duplicate ID card needs to be issued, etc.

After properly drafting the process/rules/policy, get it vetted/approved by your management and implement it. Publish/circulate it among all employees and make it a part of your induction program for new recruits.

If you do all of the above in a professional manner, then you will probably not encounter any problems.

Creating, implementing, and reviewing policies and systems are key functions of HR. You have enough data to create an ID policy for the company. It's like a company product given at the time of joining with an objective and taken back at the time of separation. A well-drafted policy will help create acceptance. Also, see if everyone, including top management, is following the rules. It helps in getting it reinforced.

Please accept my advice as a senior colleague. I hope you won't mind it. Do not expect ready-made solutions to each problem. As a professional, you will have to understand and analyze the problem, give a lot of thought to it, find out possible solutions, and carefully implement the correct solution, knowing well the pros and cons. Others may give you many solutions, many of which will be just pieces of information thrown at you without much thought. You will have to choose the correct solution, adopt it considering the situations and realities at your workplace, best known to you. Please do not expect to have everything readily available on a platter. There are no free lunches; you will have to think, work hard, and come up with a practical solution. Please do not get into the copy and paste culture.

Anyway, I am further elaborating on how to write a policy. You may think over the structure and the contents and come up with a well-thought-out policy. I hope you will be making a good beginning by writing a simple ID Card Policy and will go on to write many more HR policies of a more complex nature.

Please refer to the attachment. I had thought of giving you only an outline and a few points of the policy, but I have ended up with 90% of the policy needing only the balance of 10% tinkering from your side.

Please communicate to your staff that:

1. An ID card is the only proof outside of your house that contains vital information such as your photo, name, designation, location, date of birth, employee number, and most importantly, your blood group and office contact details in emergencies.

2. If anything happens to you between your house and office in an emergency, you will receive help from doctors and the police.

3. Last but not least, if you were to pass away during your commute between your home and office, people will know whom to contact and where to send your body.

This refers to ID card information flow. It is very useful. Also, I came across a certain statement from a respectable member as below:

All photo IDs for a company should be made according to the Factories Act 1948 rule 110-A, Form no. 36. It should cover the following:
(a) Name and address of the Factory
(b) The full name and address of the worker
(c) Date of birth of the worker
(d) Date of joining the service in the factory
(e) Recent passport size photograph of the worker
(f) Signature or left thumb impression of the worker
(g) Signature of Manager or Authorized Agent
(h) Date of Issue

In the context of the same, please inform how the Factories Act specified relates to the mentioned Act 104-A, which says the onus of proving the limits of what is practicable, etc. How does this relate to the field of ID cards?

My concern is mainly if I include the fields as specified referencing the "FACTORY ACT," how do I correlate and with what proof?

I too face a similar problem in my company, but I keep on reminding people and ask them to treat the entire company, and to avoid the same issue, people should ensure they wear their IDs. Not only that, but I have also asked people to speak only in English or Hindi, especially for Level 4 employees, so that employee communication can be improved.

The question some employees ask, "What is the use of wearing an ID card?" needs to be given serious thought in today's work environment. Many companies have discontinued this practice due to advancements in technology.

The use of an ID card may be viewed by considering the following situations:

1. If your company follows a strict uniform policy, then ID cards may not be required, as the uniform itself signifies that the wearer is an employee and abides by the code of conduct.
2. In industries such as airlines, banks, R&D, etc., where access-controlled security is of paramount importance, ID cards are definitely required.
3. In many organizations, an ID card is used as a time punch card as well. In cases where you have finger scanning machines for time and access control, then the ID card per se may not be required.
