Need Help Drafting a Contractor Termination Letter – Any Advice?

I am Kedar, working with an MNC Company in Vadodara. Our company wants to terminate one contractor from services.

So, please provide me with the format of the Termination Letter for the Agency.

Please do the needful at the earliest.

Are you terminating the contract before the expiry date? The draft is as follows: subject to the condition that you have signed a proper agreement on stamp paper duly signed by the parties.

Dear Sir,

This is in reference to the Agreement dated [Date] for providing caretaker/security services. The agreement was for a period of [Number of years] from [Start Date] to [End Date]. Since the agreement is expiring on [Expiry Date], we would like to inform you that effective [Start Date], we shall not be utilizing your services. Please contact the Accounts Department for the full and final settlement of accounts and submit the following documents:

- Copy of Wage Register
- Copy of ESI/PF Challan/Returns
- Copy of Returns under the Factories Act/Minimum Wages Act/Payment of Wages Act/Payment of Bonus Act/Payment of Gratuity Act

These documents must be signed by you.

Furthermore, please submit an affidavit on stamp paper of Rs.10 clearly stating that you have complied with all the provisions under the labor laws/state laws and have deposited the returns/payments. In case the company is made responsible for any dispute/compensation, you shall compensate the same. The company shall also have the right to sue in the appropriate court of law for the recovery of damages.
