Streamlining Employee Personnel Files: What Should Be Included in Each Section?

I want to streamline the personnel file of each employee with dividers, namely: (Joining Docs - CV, Credentials, Passport, PAN copies, etc.), (Leave Records), (Tax Compliance Records), (PF), and (Gratuity). I would appreciate it if you could provide me with a checklist for the contents of the personnel file.

In our company, we don't maintain PF and gratuity records in personnel files. We maintain these records separately! As far as the checklist of the contents for the personnel file is concerned, I'm posting it here:

Checklist for Personnel Files

Name: __________________________ Employee No: ___________
Designation: _____________________ Joining Date: ____________

q Resume / Job application from the employee

q Photocopies of Education credentials.

q Photocopy of Experience certificates.

q Clearance letter or acceptance of resignation from the last employer. (If applicable)

q Last Pay Slip or any other evidence of the last pay.

q Reference Letter from the last employer. (If applicable)

q Reference Letter from personal references. (If applicable)

q Employment Application form

q Interview Evaluation Sheet

q Employment Requisition form

q Employment Approval form

q National Identity Card. (2 photocopies)

q 2 passport size photographs.

q Offer letter. (If applicable)

q Joining report

q Appointment Letter (Contract Letter in case of a contract employee)

q Confirmation letter. (If applicable)

q Job Description
