Need Help with a Sample Late Memo Format for Employees – How Do You Handle Tardiness?

Hi, Good Morning All,

Recently, we started implementing a new policy where if an employee arrives late three times in a month, they should be issued a Late Memo. Additionally, they should be informed that starting from the next instance of tardiness, half a day's leave will be deducted for each late arrival. This memo should be given to each employee with a cc to the Concerned Department Head.

Could you please provide me with a sample Late Memo format?

Late Coming Rules

Every employee of the company is expected to be present at their workplace five minutes before the start of their shift on all working days.

1. A grace period of 10 minutes will be available to each employee 3 times a month without any deduction.
2. For every additional 3 times a delay of more than 10 minutes in a month, a salary deduction of ½ day or half leave shall be applied.
3. For delays of more than 6 times in a month, the concerned employee will not be allowed on duty without providing a proper explanation in writing, with a deduction of salary up to 2 days.
4. Proper explanations will be requested from chronic latecomers, and suitable action shall be taken.
