Delivering Increment Letters: Should My Friend Hand Them Out Personally or Call Employees In?

Good morning to all!

I want to share with all of you a query from one of my friends who has just started his career as an HR Executive in a medium-sized company. He has to deliver the increment letters to all the employees of his company. Should he deliver the letter to all the employees in person or request each employee step by step to come to the HR Department, receive the letter, and accept it as a token of acceptance, as it pertains to confidentiality? He is the only one in the HR Department as the manager of the company has left the services and has yet to be recruited.

Now, he is very confused about what to do or not, because most are senior to him. I hope you, friends/seniors, have some good ideas that will help him make a decision.

If some senior employees in the organization, you should go to him with an increment letter and take an acceptance.

Please call all department heads to the HR department and deliver the letters on behalf of their executives. We used to do it like that.

Hi Ranjan,

Please ask your friend to make two copies of the increment letters. A set of the original and a copy should be given to department heads, who will then hand over the letters to the employees and obtain acknowledgment of receipt on the copy.

The receipt copy should be sent to the HR department, and a copy of the same should be forwarded to the Accounts department.

Hi,

Those who are seniors should go to deliver their letter and obtain acceptance, while those who are juniors should be called into the HR Department to receive the letter and provide acceptance.

Hi,

If you are giving the letter to a senior, it would be better if you go to them and hand over the letter in person. For juniors, send an email asking them to come to the HR room to collect their increment letters, or you can hand over the letters to their HODs and ask them to distribute to their team members, ensuring their acceptance.
