Employee Exit Process: What Documents Should I Collect Before Issuing a Relieving Letter?

Dear All,

In my organization, some employees are leaving their jobs. Before issuing them a relieving letter, please guide me on which documents I need to collect from them. If anyone has a list of required documents or any relevant policies, kindly provide them to me.

Hi Vrusha,

I am attaching documents pertaining to the exit policy that your company has to adopt. Please include a mention of the exit policy in your company policy handbook.

Please inform your employees that none of the benefits or accrued salary will be given unless and until they comply with the exit policy.

Hi all,

Is it fair to stop the salary of the employee who is serving the notice period? For example, suppose A has resigned on the 16th of this month; so the 16th of next month will be his last day in the office. Can we add it to a policy that we are going to give his 2 months' salary on the F&F day? Is it ethical?

Hi Vrusha,

You have to give them the following documents:

1. Exit Interview Form
2. Clearance Form
3. PF Withdrawal Form (if withdrawal)

Most people depend on the salary they receive at the end of the month. Therefore, in my opinion, stopping the salary is not a good practice. However, many organizations have this as their policy because employees tend to back out once they receive their salary and are serving their notice period.

If you want your employees to complete their notice period, consider holding their relieving letter and annual benefits, if applicable, and settle everything with full and final settlement (F & F).
