this is because at the time of leaving company and joining other companies , the joined company could be interested to find out whether this person was really working with that co or lied at the time of interview, because people this days do fake work at the time of interview not only even if deductive work is done by deductive agency in same legal or illegal cases

Dear All,
I think in photocopy in future someone make any type of correction and take a copy of the same issuing a orgional 2 copy of appoint letter is necessary.

Any Establishment should maintain a hard copy file of individuals called personal file of every employee.This should contain all correspondence with the employee concerned. The apptt.letter being the first mutual agreement keeping original of the same in his personal file will be necessary for use in any litigation/legal matters. This is because in most cases originals of documents are insisted by the courts specifically. One original in the file contains the original signature of the employee acknowledging the terms & conditions of apptt. which signify he/she accepts those terms. For that matter, it\'s not only the apptt.letter every correspondence should be properly acknowledged and filed. Many a time the electronic/scanned/xerox copies are not accepted.

Dear Monica,
Getting 2 originals means a dignifed way of keeping our records. Usaully for the 2nd copy we will not be using good quality paper. An appointment letter issued to an employee should be maintained even after the employees the organisaion for a certain period of time. If the records are not properly maintained the organisation will be in trouble from the staturoty departments especially the labour.
