Reflecting on Our CHR NCR Volunteer Meet 2007: Minutes and Memories Shared Here

Hello Gang, Team, and our NCR HR Family,

I will start with a sorry; I was caught in a tsunami in the office yesterday 😱 and couldn't post the minutes here. Thanks to all of you for keeping the enthusiasm and the thread alive, circulating the information, and sharing the 1st July experience.

So, the waiting ends in this post. I am attaching the minutes of our "CHR NCR VOLUNTEER MEET 2007," and the second post in this thread will have some other informative details, so stay glued here 😈.

Before I move ahead, I would like to extend a very warm thanks to our CHR Administrator, Mr. Sidharth Roy, aka SID, for providing all of us this wonderful platform for knowledge sharing and staying connected. Thanks!!! Sid, you sure rock and keep rocking 😃.

Hmmm... I guess it's some kind of technical (compatibility?) problem to upload the outcome. I suggest, why don't you call up or take guidance from Mr. S. Roy? Maybe he is able to guide you on how to proceed if there is some kind of memory space limitation, etc. Well, that's just a passing thought.

So, all of us wait and wish that this technical barrier should vanish ASAP so that all of us may be able to enjoy the outcome! :)

I received the email from Geeti with the minutes of the meeting. It appears that it was a very successful gathering. Unfortunately, I was unable to attend as my train was delayed. However, I will make sure to attend the August meeting. I am looking forward to meeting all the members next time. Dear Geeti and all the CHR meet attendees,

I really missed the opportunity to be there with you all due to some unavoidable reasons on the day. I had spoken to Nitin Pareek about the meeting, and the feedback was really thrilling and exciting enough. I wish to take these meetings to a new dimension and places, and enrich every mind present there with the sharing of thoughts and brainstorming sessions.

I once again congratulate you all - Mr. Dudeja, Nitin, Geetika, Radhika, Himani, Anupama, and other people for making such a successful start. I will make sure that I don't miss these meetings again. And one more thing, I would like to be a volunteer for these meetings! Geeti, please add my name there.

Congrates for taking the initiative for HR meet in Delhi on 1st July 2007.
(If you forget me, here is the Recap – I am the one who don't like Recruitment & Selection process).
It was really good experience for me. I personally thanks to Mr. TRIBIKRAM and all other members of CITEHR. Hope we will meet again as per schedule day with some nice ideas.

Great to see the response. I can feel the positive vibes spreading all across after this first meeting of ours.

Anyhow, we should be even more conscious about all these applauds, as it is going to raise expectations for the upcoming meetings. We, all volunteers, should be on the same page and make the ACTUAL MEETING a BIG SUCCESS.

Once again, we should be really conscious about the upcoming meetings as the expectations are high now. The next meeting should be properly planned and well-organized, and obviously, all this stuff should be done by US VOLUNTEERS.

Can we identify the volunteers who had put in the maximum effort for organizing the meet on 01 Jul? I suggest that we make it a standard feature - identify the volunteers who have put in maximum efforts - and highlight their contribution towards making the meets successful. Also, give them a token gift of appreciation during the meet. What do you say?

If something new comes up, there is someone to respond to it. Great idea of acknowledging volunteers. All credit goes to Mr. Dudeja.

Also, I just want to inform you all one thing. In this voting, myself and Geeti's names will not be involved. People who vote for me or Geeti, their votes will not be counted :).

With this query, you just reminded me of one thing...

Guys, may I know how we are proceeding for the next meeting? What tasks have been assigned to whom? I only see the list of volunteers, and it's unclear what they will be doing. Are we planning something in addition to the two presentations by our seniors? What will be the duration of the presentations? Will there be any interactive game sessions, etc.?

If anyone's name is not included in the list, do not take it too seriously. Try to empathize with the other person. As Mr. Pankaj said, anyone can take initiative and come up with new suggestions and thoughts.

Please do remember that there is no captain or leader for this team of volunteers. Everyone is a volunteer and is just a volunteer... that's it and that's all. If someone is posting on the thread and active in organizing meets, it does not mean that he/she is concentrating on only this thing. Most of us are professionals here; we need to strike the balance between personal life and professional life, and organizing meets for knowledge sharing is a bit extra.

What I want to convey is... If Geeti or anyone missed any name anywhere, please realize and understand that it is just a mistake, but not something that has been done intentionally.

Suppose I want to volunteer and my name is not added to the list, what I would do is... I would update the sheet with my name and start volunteering from then and there itself. Let us keep the spirit of volunteerism alive... Cheers :) :D

Also, this post of mine may seem a bit harsh as I read it, but I am honestly not saying anything harshly here. It just sounds that way.

As we have decided, the next meet is scheduled for the 19th of August, '07. We still have one and a half more months to go for that. So, it is too early to assign responsibilities. Let us wait until the last week of July, and then we can proceed accordingly. Until then, we all should be on the same page. I think Mr. Dudeja is working out the venue... once we get confirmation on the venue, we can plan and work accordingly. Also, if you have any ideas, please suggest.

Superannuation and Superannuation Allowance
Well, superannuation means “the age of retirement”. This terminology is derived by another word “annuity”. Hence, superannuation is the last year of your earning and after which one retires from his profession.
Superannuation allowance is one of the retirement benefits, along with PF and Gratuity. This is a “forced saving” and payable at the time of retirement or at the time whenever you leave the company. Unlike, PF and Gratuity, most of times employers doest not contribute in this fund (Choice for employers but cannot be forced legally).

The way you guys did it for the meeting where you updated your names yourself, please do the same thing here as well! If there needs to be a meeting done, which I too think there should be, discussing each one's/a group's responsibility, please keep it posted on the thread!

Well, the idea of meeting is great, but at the same time, I would like to suggest the following points:-

1. First of all, welcoming more and more volunteers is good, but we need to keep some kind of time management too. Let's fix a date by when the list of volunteers will be frozen. Thereafter, any new applications for volunteers should be kept for the next meeting only. And as suggested by many, please do not depend on anyone for their names to be added. I believe we all know how to add our names to the list. So guys, please do it yourself. It is Nirulas, not Sagar Ratna, so we all better do self-service 😛.

2. Second, we should prepare a list of the activities required for the coming meeting and should be rolled out on this thread.

3. Minimum number of volunteers should be allocated against each activity.

4. Volunteers should be given an option to choose the activity of their choice.

5. Fix a date around 10 days before the meeting to discuss what each volunteer or group of volunteers have planned for their activity.

Thanks to Anupama also for this time landing with a really very pragmatic and well-structured plan to undertake the challenging task of handling the responsibility of volunteers for the forthcoming meeting! :) This time, I hope you shall at least be able to attend the meeting! :) Well, what happened to the results of the voting for the best volunteers...?

A special thanks to Kiran for taking the pain and initiative for talking in detail on the phone last night... so nice of you to be enthusiastic about every aspect of life! I do not completely agree on this, as if given a choice, there are chances that a large number will select a single activity. In the process of not selecting a few names, there are chances people might get hurt. Anyhow, if you all take my suggestion, face-to-face meeting is always better than fixing things online.

Fix a date around 10 days before the meeting to discuss what each volunteer or group of volunteers have planned for their activity.

Ten days is a short time to change things if required, especially when we are all working full time. My suggestion would be that all volunteers should meet at least three weeks before the formal meeting on August 19.

Dear Mam,

Actually, the list of volunteers is there, but there are many posts after that where some of them are not listed but would like to be volunteers. That is why I suggested freezing it with the final names. Otherwise, we will keep getting names every day but will not be able to finalize it.

Secondly, since we will be allocating the number of people for each activity, therefore it will be on a first-come, first-served basis. The volunteers have to submit their choice on the post itself, ensuring transparency for everyone to know who has already applied for that activity and if there are any vacant seats. I will keep adding names to the list against the activities as and when I receive updates.

YES, we volunteers should meet three weeks before August 19th. The tentative date I can suggest as of now is 29th July, '07 OR 5th August, '07. In that meeting, we can decide on the roles of volunteers or KRAs of volunteers or whatever you suggest.

The reason for Archana's view is... It appears as 10 days, but... in those 10 days... the number of days we can devote is 1 or 2, in which it is impossible to streamline the things, if required.

As far as the volunteers' list is concerned... it has been frozen, yet I can see certain people getting confused. So, I will post the updated Frozen Volunteers list by today evening.

So, volunteers... what do you say about a BRAINSTORMING SESSION of volunteers on 29TH JULY, '07 OR 5th AUGUST, '07???

Thanks to each and everyone who has voted for me.

Here, I would like to tell something to everyone. Well, all of you felt that I had contributed much to making this first meeting happen. But, the important person is GEETI. I somehow feel that she is the right person for this award. The reasons being... she is the one who actually took out time to go check the venue on Saturday, and she is the one who put lots of effort into drafting MoM and likewise made many contributions. Anyways, this is just the beginning.

Regarding GIFTS and STUFF, we can decide in our upcoming meetings. Not a big deal. Now, the next important step is to decide the DATE for our Volunteers' session, so as to PLAN for our upcoming event. If we can decide the date in the coming TWO or THREE days, we can give enough time to our volunteers to preplan things and be there in the MEET without canceling any of their plans or programs. So, the immediate step should be deciding the date for the next session... if it is going to be the 29th or the 5th.

I think I can work on the AGENDA for the upcoming session. Also, please make it clear to everyone that it is NOT AN OFFLINE MEET.

Also, thanks to everyone who wished me a Happy vacation. It has been three days full of joy and Awesome FOOD... YUMMY... My stomach is overloaded from the past three days :D.

Well, we are in the process of searching for the venue for the 19th August meet, but somehow, on Sundays, almost all the places in and around CP are booked. I am looking forward to more options from all of you for the venue. Please post suggestions/options/leads for this particular major criteria for our next meet. We need to book something with a maximum 40-50 seating capacity.

Pankaj, one more thing, going back to one of your emails where you have written, "Let's start to believe that no creative and positive efforts ever go to waste." Reading this line makes me feel that we should also appreciate the efforts of Geeti. Though I may be contradicting myself, as a special consideration, we should also recognize her efforts and energy. Without her, this would not have happened.

You can go to Moti Mahal, McDonald's, Sagar Ratna, Kebab Factory, Superstar. We can go for dance after discussion 😉 Pearl Regency in Sector 29 is another good option. There are many options here. Well, I am not aware of the seating capacity in some cases.

Anu, I wanted to talk to you yesterday about the mementos, but I couldn't get through to your number. Please, let's plan for a venue in Delhi only because for us, people coming from Gurgaon, it will be difficult to travel. Not only is it far, but some of us don't have our own vehicles.

Geeti and Kiran, now it's hard to decide what to give you as a token of appreciation. Geeti likes chocolates and flowers, while Kiran likes something else. Let's settle on something in between, like rum and raisin cake with flowers, a little bit of everything... Alright, that was just a joke; we will keep your preferences in mind.
