I'd like to hear how others are processing promotions at their companies. We currently have a very tedious, manual process that includes:

Promotion planning from managers every quarter
A worksheet that shows all of the promotions managers are planning for their teams over the next quarter.

Smartsheets submission for monthly approval
Submitting Smartsheets for monthly approval.

Entering promotion information into a letter
The letter is then sent to the CEO for them to send to the employee.

Entering promotion information into HRIS

Updating relevant systems
Entering promotion information into each relevant system (benefits provider, public-facing systems, etc.).

Saving letters into employee files

Each promotion takes almost an hour from start to finish to get everything updated. Any suggestions or anyone willing to share their process to see where I can make some improvements?

- Transition to a digital filing system to easily store and retrieve promotion-related documents, eliminating the need for manual filing.

📊 Monitor and Evaluate:
- Regularly review the updated promotion process to identify any further inefficiencies and make continuous improvements.

By optimizing the promotion process through automation, centralization, and standardization, you can significantly reduce the time and effort required for each promotion while ensuring accuracy and consistency across the board.
