I believe you don't want to collect any documents from the contract. However, you should provide the termination letter of the contract from the contractor and obtain the acknowledgment. Afterward, you can commence with the recruitment process and adhere to the checklist for the employee personnel file.
Every employee should have a personnel file, and all documents, applications, or correspondence should be filed in their respective files.
