I recently joined a company as an HR, and I want to know about all the responsibilities of HR from start to end. I want to know about what the joining process should be at the time of joining and also which kind of joining documents are required from new joiners.

In Regards to Joining
Joining usually has three stages: Prejoining, Onboarding, and Post Joining.
Prejoining
The prejoining formalities start when the candidate accepts the offer. This involves sharing pertinent information with the prospective employee to ensure their transition is smooth and comfortable. This includes sharing their TA/DA entitlement, booking a Guest House, sharing the offer letter, and providing a list of documents they need to bring on the day of joining. Discussions with Line Managers for assigning a Buddy and arranging necessary assets like Mobile Phones and Laptops are also part of this stage.
Onboarding
On the day the employee joins the organization, documentation is completed, which involves filling out PF, Gratuity, Insurance Forms, and other credentials and their verification. This includes opening Bank Accounts, etc. The new joiner is given a brief overview of the Company and Employment Policies. It also involves orientation and introduction with the 'buddy'.

- Passport Size Photographs
- HRIS Form (You may prepare this form for quick access to employee's information and can share it during pre-joining)
Post Joining
This stage involves regularly updating the employee about various benefits, Common Tools and Processes, like PMS, and arranging their Training Programs, etc.

- Declaration letter
- Joining Report
- Declaration form for Company Dues
- Bank Form (Salary Purpose)
After filling out all the forms, you can add their employment information to your ERP system.
Documents to Collect from New Joiners
You are required to collect the following documents from the new joiner:
- Qualification proof
- Experience Letters
- Relieving letter from the previous employer
- PAN Card Copy
- Passport/Driving License
- Electricity Bill/Landline Bill
- 7 to 8 Passport Size Photographs
