Dear All,

I am creating a graph on the number of employees who are working and the number of employees who have resigned. The graph should also show the number of employees in each department such as the Engineering department, QC department, Sales department, etc.

I would appreciate it if any of you could share any formats like this to maintain a track of the percentage of employees who are existing and who have quit. This would be useful for many HR professionals working in small companies too.

Expecting a reply!

Regards, Jitha

Please find the updated file at the bottom of this page.

Please find attached .xls file. Probably it could solve your problem. There are some flaws in it, but I hope you can manage it for the time being. You just need to make a change in the Current Status column in any sheet, and the rest is taken care of. It is based on Department-wise, the whole organization, and then depicted in a graph format.

For any further clarifications, please email me at the email given below: kumar.exe@gmail.com.

Hi Kumar,

This is Jitha from Chennai. I got the .xls sheet called "Tracker" which you sent. I have started working on it. We have nearly 8 departments, and I am trying to create with the help of your tracker. But I do not have any idea how the formula for different sheets (departments) can be made and also the graph. If I try inserting, it is showing an error. I think the Excel will accept only two sheets to work out. Can you please suggest/help me to create a formula if I am adding more sheets in the Excel.

Awaiting your reply. Please consider this an urgent need.

Thanks,
Jitha

Hi Jitha,

You might need to look at a bar chart rather than a pie chart. Each column will represent a department, and two bars will represent the % of existing employees and % of resigned employees. I am attaching an Excel file for your reference.

To answer your second query, Excel works with logic. You cannot depend on a formula for a long time. As a workaround, you might insert additional rows between the existing rows, and the same would be reflected in your graph. There are two worksheets: one with the normal situation, the other one in case you want to add something highlighted in yellow.

Please let me know if it helps.

Hi Kumar / Acharya,

That's really wonderful. Like you, if everyone helps each other, I believe there won't be problems but more solutions before problems arise (we will have a choice of solutions at that time :D).

Well, nothing to comment, it was really wonderful. As I was browsing the sites, I came across a nice site like this and was able to meet wonderful people like you who are helping others.

I even need your help to grow in my career. Please help me out.

Thanks & Warm Regards,
Sunil

Hi Guys,

Very good morning. Here is the updated version of the tracker with additional features. We now support 9 departments. Each department can accommodate any number of employees. Each department has its own graphical output.

Hope this is useful to you. Last but not least, thanks for the compliments, Sunil.

Hi Kumar,

Thank you for your message. I noticed a few errors in your text that I have corrected below:

"One issue in the file is that you always need to enter a new record between rows 1-11 only and update the S.no column. I am currently working on fixing it. Until then, take care.

Regards,
Kumar M"

I hope this helps. Let me know if you need further assistance.

Ask your IT department to show you how to use Excel or Google Sheets to develop your chart. You might also ask your manager to organize some spreadsheet training for you. That way, you will be able to construct a range of different charts for your HR functions.
