While drafting a travel policy, please consider the following:

- List down the types of travel required by your company:
1. Local Travel
2. Short duration deputation
3. Long distance - Onsite Travel
4. Transportation/relocation

- Take note of the legal requirements, such as mediclaim coverage for long-distance onsite travel, etc. Look into the budget available for reimbursement. You may divide the grade/band/levels and decide on an amount. Please keep a market view. Per diem is based on the standard of living of the target city and is coupled with additional benefits such as a company guesthouse, depending on organizational policies.

- Focus on internal policies, such as offering support while traveling, including the cost of roaming charges on cell phones, internet charges, family accompanying onsite travel for more than 18 months.

- Please include the process for approval before travel and reimbursement requests post-travel. A complete start-to-end map is a must with contact details and closing dates; for example, bills should be provided within 3 months of travel before the 15th of the given month. A printout of the travel approval and reimbursement form needs to be attached.

- Mention the escalation process to be followed in case of a dispute, with every consequence clearly noted down. For example, consuming alcohol at the onsite location is not permitted. Any bills related to personal expenses such as shopping, clubbing, upgrading the credit card, etc., will not be reimbursed.

- List all emergency numbers to be used in case of a requirement.
