Sir,
In the small and medium size organisation we allow gate passes/ shorl leave to employees generally for 2hrs. in a month and the smae is being carried out in our organisation.
Now some of the employees who donot use this facility are asking for these hours to be adjusted in their salary/ leave.
can we do it?
Pls. Advice.

Hi Rahul,

It is very crucial area and it is generally related to Factory .

Lets go one by one :

Shortleave : It can be given twice (general) in a month. it is a facility which can be utilized in urgency by the staff . But it cannot be claimed in terms of some other way like money or Leave or Salary. And pl note for short leave the concerned staff has to take a permission from his Authority. And may possible permission is not allowed because of urgency in Production ot Adminstrative reasons. So it can be availed on humble terms.

If you have continuous overtime at your production Sections and you give Overtime Bonus ( depends on No of production hours in week ex 51 hours or 54 hours or 60 hours ) Because of shortleave the person will have to loose the Overtime Bonus but not Overtime.

Inferance : This is a facility and it cannot be claimed

Gate Pass : It is given in unusal circumstances to the employee if the request is made . But in this their will be deductioin in salary for the number of hours the employee was out. Again it depends on Authoroty to give this or not.

Dear Rahul,
Its a big NO.
I will give you a small example.
Suppose we have 10 CLs per year and somehow we could not avail all the CLs. Are we going to pay the employee for the unavailed CLs.
The gate pass system in your organisation is a facility that has been extended to the employees and the employees should know that it is not a matter of right.
It just cannot be adujusted agaist the slalry or leave.

Rahul,

This is quite clear that practice of allowing people with short leave of 2 hrs can not be accumulated or encashed for those, who have not availed. Hence, the conslusion, one might draw that you don't have to do anything or simply ignore the request.

Somehow, I do not see the problem being settled by simply rejecting a undesirable demand.Which indicates that there are some who are enjoying this facility & others are not, May be they don't need it.

But the point is people do compare themselves with others, & bring up such unwanted grievances.

Therefore, In order to be fair & equitable you have following options.

Completely withdraw this facility & ask people to use short leave(2-4 hours) to be taken as 1/2 day CL instead. or someone take 3 times, adjust his one CL.

You could also put a ceiling of maxim number of Short leaves in a year which would go against an individual's punctuality & recorded in the Appraisal.

You could also think of insitutionalising attendance award at the year end, for those who have never availed this Short Leave & are otherwise punctual.

You could also publicise the names of habitual shortleave takers on the Notice Board every month, this will put some moral pressure & it will come down.
