You should get in touch with some Certification bodies i.e. the organisations which provide such certifications and ask them to help you undrstand the procedure etc.
Also, you can look for some Consultants/Consulting companies - These are professionals who guide the companies in preparing for such certifications.
Else, you can get any of your employee traines on the process and he/she can get the entire process run in the company.
These days, we are also in the process of applying for this certification thus we have chosen a consultant who will guide us in preparing for it.

Keep all training materials and records updated

Have all documents/files list easily approachable and traceable and
retrieval time of same is very reasonable.
Also ensure that policies, vision etc. are prominantly displayed in your department
