Hi Everyone,
I am required to send a formal but soft warning mail to employees talking about their late log-ins but I am having issues with paraphrasing the correct sentences and would love to have some help from your side, Below is the format - Please guide me how to write it properly, we usually count half day lops leaving 2 days in a month.

Dear Karishma,

You punched into the office late on the 14th,15th, and 16th in the month of September. Since there was no mail that your manager approved then there will be a half-day LOP for the 16th of September.

As per our earlier mail, any employee logging in late should have approval from their respective managers through email. If it’s an emergency, then you may call and inform us by mail.

Consider this letter as your official final warning mail.

Please note there will be only 2 warnings per month, also we will not be sending any mail post 2 warnings.

Try writing it as below :

Dear Karishma,

We wish to remind you that, as per our earlier mail, any employee logging in late should have approval from their respective managers through email. If it’s an emergency, then you may call and inform us by mail.

You punched into the office late on the 14th,15th, and 16th in the month of September. There was no mail that your manager approved the same, and therefore, a half-day LOP will apply for 16th of September.

Please avoid late punch-ins to prevent loss of pay. Also please note there we are not obliged to send warning letters and the deduction will henceforth be automatic.
