Dear Md Polash Miah,

It is important for the company's administration to cut down on administrative costs or wasteful expenditure. However, this can best be achieved by involving the employees and measuring the costs at various levels.

Measuring Costs Effectively

In view of this, before issuing the circular through email, first, measure the cost on the following counts:

a) Consumption of units of electric power per person per month

b) Consumption of units of water per person per month

c) How many elevators do you have? Have you measured how many times elevators travel per day? Install the electric meter and find out the consumption of units of electric power per elevator per day.

d) Identify other places where measurement can be done.

Once you have collected the data, perform a month-wise or day-wise analysis and include this data in the circular. Please note that numbers always sensitize the human mind. In the same circular, request employees to come forward with suggestions to cut down costs.

Balancing Cost Reduction and Security

While cutting down backend costs is important, do not cut down on security personnel or security lights, etc. Identify the scope to merge or club activities to save costs.

If you just issue a circular through email to cut down utility bills or costs, the employees might ignore it, considering it yet another rhetoric by the management.
