Hi,
I need clarification as to whether it is mandatory to store employee information like Name, DOB, Anniversary, Education Qualification, Work Experience etc. in a physical format, clipped in a file.
Or is it acceptable to scan these and store it on a laptop/computer/server. If there is a law which mandates physical storage then kindly let me know where to refer the same.

I won't foresee retention of original docs once the scrutiny & verification of the genuineness is complete would be necessary. It's suggested scanned copies and self attested copies of all credentials are kept in hard copies for future use as there is always possibility of forging of docs of the past and future. However originals of educational qualifications, birth certificates etc. can be returned once done with them. You should be concise of the fact that many a time in case of disputes reaching courts, necessity to produce originals are insisted upon. In order to avoid this inability, I have come across few employers insist for notarised copies of documents in exchange of originals.
