Dear Seniors,

I need your help on urgent basis.

Today one of our office boy is late as usual. his timing is 10 pm but he always come at 10.30 pm. our office timing for all other staff is 10.30 pm so all staff doesn't get drinking water bottle at their desk by the time when they reach to office. He usually serve the water after 11 pm only. So today I warn him again and he revert back to me. When I inform this incident to director he told me to issue warning letter to him.

My question is that :

1. can we directly issue him warning letter or we have to issue him show cause notice. (Me & his HOD gave him oral warning several times)
2. He can't understand english so do we need to issue him warning letter in marathi or can we issue him warning letter in english.
3. Do I need to mention the issue in detail or only wording "negligence of duty and misbehaviour with senior" are enough to write in letter.

Kindly guide me on this matter as tomorrow I have to issue him warning letter.

Issue him a warning letter in regional language and keep one receipted copy in his office file.

I am sure he has been warned verbally earlier for late coming.

Where is the question of misbehaviour with senior-it appears to be a late coming problem which many people of this nature of job have.

Specifically mention late coming on frequent basis inspite of many verbal cautions in the warning letter.

You can issue a show cause notice detailing his frequent late arrivals and your attempts to correct him.

Give him 48 hours for response and then give warning letter.Keep one copy of his receipt/acknowledgement on file.

Ensure letter is legally worded in simple language and direct to point and in Marathi(local language)

You have been observed coming late to office on-------,whereas your office timings are -----.

You are hereby to give explanation for the lapse by-----(48 hours date).In case no reply is received by----(date)suitable action will be initiated against you.

Signed by appropriate HR authority with date.
