Dear All,
My superior just asked me to prepare a circular for all the staff regarding the punctuality in office timings i.e Check in & Check out timings, despite several circular to the staffs here no on is actually following them, but still my boss is intending to keep circular soft & not too harsh can somebody help me out in making a gentle circular ....

Make out a circular to the best of your ability and put it on the forum. Members will fine tune the circular.

Thanks for your response Im a new joinee to my current comp. as said by you i had prepared the below draft but still it needs more gentle or more like a request from managements point
Firstly we would like to thank all the staff for their continued support provided to us till now, but is has been bought to the management notice that there are certain irregularities on maintain the punctuality. So here by all the employees are requested to follow the office timings (7:30 am to 5:30 pm) strictly. The office timing starts exactly at 7.30 AM and everyone is instructed to come to office on time or at the maximum by 7:45 Am. Any employee who comes to office after 7.45 AM, henceforth will be marked half day absent, and this is strictly to be followed by everyone from xx/xx/xxxx onwards. We need your cooperation on this and make the working environment healthy to work on, kindly maintain punctuality.

Dear Meenu,
You company must be having a service rule, in which arriving time of the company is mentioned. While drafting such kind of mails, you should always refer to the chapter No. followed with the other part of the circular.

The work timings which are followed by the establishment is ------ to------- hours Mon to Sat
All employees are requested to strictly adhere to the laid down timing.
Employees who come late will have to take half day c/l.
Your cooperation is solicited.
