MM working in IT company as admin not even in HR profile, so the problem is that there is one candidate in our company but for some reasons we had to terminated that employee without any notice. Now that employee is asking for serval reasons like Why I was terminated while I was leave, Why I have been terminated just before I could get my salary, why I have never got any warning neither verbal not written warning… and management wants me to reply for the same. The employee is correct at his side, you must tell him the reason why you have terminated his services.
Employees are assets of the company not an article to which company used & thrown away.
The employee might have planned his future with the company, He might have taken loan on the basis of his current salary.
What he will do if you suddenly terminate his services.
I believe he has all rights to ask company why ?
instead of asking what reply I should give in mail, think on this.

Dear Deepti,

Terminating an employee without any notice. Do your management think its human approach? Ask your management to calculate dues of that employees based on the employment contract. You have to pay all its dues or else he may drag the management to the court of law. I understand that you are only doing your duties as instructed by the management. But be cautious management may use as a weapon and you may be framed. If possible use management mail for sending mail or while sending mail make sure you copy to all your management team.

You may write to your employee that as per the decision of the management your services with the company has been terminated with immediate effect (mention the date) and as per employment contract you will be paid the notice period amount that is one month of your gross salary along with your other dues (mentioned them all and you may prepare an excel sheet). Scanned copy of cheque amount (mentioned the total amount) has been attached).

Cheque along with reliving and service letter will be post to your address. Thanks for your service rendered to us and best wishes for your future.

Examine the reasons for which your company has sacked the employee without even basic courtesy of notice and valid reason.
Employee is justified in asking why why??
If reasons are that strong,then at least give him notice period pay and his other dues.
Also give employee chance to present his views on the reasons for which he is being dismissed.
Natural justice should be upheld in all employer-employee dealings.
