Dear Sir / Madam,

Greetings!!

Ours is a Facility Management Company having 18 regional offices all over India having Corporate office in Pune.

The business we are in is facility management. Our core business is Mechanised Housekeeping.

But there is no leave policy in our company.

Anyone can take leave anytime with the permission of their Departmental Heads.

Most of the times we used to work even on sundays. But no overtime is paid to us by the company.So, to compensate overtime we can take leave anytime.

Can u frame a leave policy for my organisation, while keeping in mind that we are in service sector, so we have to provide service 365 days a year. Any leave can hamper our service as well as our relation with our clients.

And No one is serious in maintaining attendance of the employees.Employee used to cum at 12 PM and write 10AM in the attendance register. What to do with this issue?Can we make some rigid changes in Attendance Register only, so that if they want to change time , they wont.As i think its better to make rules in register only instead of quoting rules to each and every employee.

So, pls do suggest me some formats of attendance register and what will be the various actions need to be taken for late comers?

you could use automated systems for attendance registeration (there are a lot of things available, where an online attendance can be marked, once the employee logs on to his/her PC, he/she submits his her attendance; access cards can be of help, but I am not sure how helful will they be for your industry an access card can help in creating the log of in and out entry)
About leave policy:
You may opt for a rotated leave policy, wherein not everyone has a weekly off on the same day, here one member can take a leave on a particular day while all others work on that day (this will ensure that some one is available ) and then the second member takes leaves some other day... I dont know how you could administer this...but this was the first thought that came to my mind....

Hello,
Since you say it's a service company, you could also consider a shift arrangement. That way, people come in when they are on duty and can rest and do other things when they are not on duty.
When you say some people come at 12, when do such people close? Anytime there's no more work? Well, please note that you also want to be fair, so until you put some form of structure in place, it may be difficult to enforce punctuality especially if there is no specific closing time.
When there is proper work arrangement and structure, then you can also have a proper leave policy - have a preplanned leave roster, approved no. of days for annual leave, casual leave etc.
