Hi all,
I have a file containing more than 500 different types of pre-written letter formats that I downloaded from the citihr site. I am uploading it again for new citihr members and others who may have missed it.
Please download it as it will help you a lot in writing basic letters. It will give you an idea of how to start the letter and assist you in your day-to-day letter drafting.
Please provide me with your feedback on the same.

Dear all,
Can anyone guide me in the matter below?
We had a small company that closed in 2000. A personal hearing was scheduled by ESI on various dates, and we attended all the hearings. Finally, an order under section 45A was issued for the period from 1995-1996 to 1999-2000, and we paid all the contributions, including interest and damages.
Now, we have received a public notice in the newspapers stating that we did not attend the personal hearings for the periods 1993-1994 and 1994-1995. Is it within the corporation's rights to insist that we produce records for the omitted period? This oversight occurred due to the assessing officer's failure to review the files while assessing the period from 1995-1996 to 1999-2000.
What steps should we take in this situation? Additionally, the records for the periods 1993-1994 and 1994-1995 have been completely damaged. How should we respond to ESI? Your valuable suggestions are appreciated.
Thanks & Regards,
Mubarack

Dear Mubarak,
Before replying, we require the following information: Have you received any notices for the periods 93-94 and 94-95? If you have received the notice, it is mandatory for you to attend the personal hearing and provide an appropriate response. The department does not have the authority to request very old records. Nevertheless, please contact the authorities and present the actual situation.
Thank you.

Dear Mr. Janardhanan,
Thank you very much for your reply. Since I have joined now, I am not sure whether the ex-in-charge has received the notice for the period 93-94 & 94-95 or not. When verified with the ESI office, they are showing the inspector's report and a copy of the letter posted to us during 1997. My question is, is it not the duty of the assessing officer to verify the file and issue the demand along with the demand raised for the period from 95-96 to 99-2000? If we accept to pay the amount mentioned in the newspaper, then the corporation will ask us to pay interest and damages with a separate notice. How to handle this case? Your valuable suggestion will be highly appreciated.
