Dear All,
I am representing a Automobile Sales Organisation. My management has instructed me to prohibit personal mobile phone usage in the office during working hours.As per management decision, every employee have to submit their personal mobile handset with HR in the morning and need to take back the same before leaving the office in evening.
I need to write the policy on the same.Seek your inputs how should I go ahead wherein I can implement the instructions of management and also convince employees on the move.
Your valid response would be highly appreciated.

Instead of depositing it in HR, it would be easy to deposit the handset at security gate. Send a common circular instead of policy stating that the management has taken a voice with regards to personal mobile usage at workplace which is hampering the productivity, hence it was decided to avoid bringing Handset at workplace, for emergency calls they can use the Official Landline.
Further more the security has to be vigilant on the makes and scratches on the handset and a register has to be maintained by the security for taking/handing over the handset, to avoid future complaints from the workmen

Thanks Saji, but management has told to make the policy so the new joinees will also get to know the rule.... I am finding it difficult to frame the policy on the same... Your help on this would be highly appreciated.... :)
please find enclosed herewith the Mobile Policy for your kind perusal and as per your requirement, Would advise that you just take help of the enclosed policy and draft according to your need, please do not copy all wherein you will not able to draft policy of your own.

Agree with Mr. Saji.
You can a training program for the existing employees and induction program for the new joinees.
You can make a format and make the employees sign in the morning & evening !!
Give the responsibility to Admin Department.

Dear Mr.Raj, advice to have the superficial survey initially which may consist of the feedback of the employees and problems what they are going to face after this and implement the same sensitively. I am sure that major no. of the employees will not accept this change because of loosing their comfort zone. So, please implement it softly and also try to display the contact nos. of the concerned employees (department wise), in case of any emergency, the family members/known people may call and get in touch with the employees. It should also be followed by the frisking at the main gate security and the penalty should be specified in the policy itself, in case of any infringement per-se.

More as a curiosity, can there be lesser intrusive ways to achieve the same goal?
I mean possibly there are situations where taking away employees' mobile phones is the only option but wouldn't the employee feel pretty weird? And what if there is an emergency at the employee's home?
Curious to know if it has been tried in organizations and how have been the results.
I personally would feel pretty strange working in an organization where I have to deposit my personal mobile for the day. I'd feel strange even if I were to implement such a policy.
