Hi Where I work we are having a challenge with parking. An empty car park is close by. I contacted the owner and got a costing to rent and a draft agreement. I would like to prepare a proposal for the CEO.
Guidance on the writing the proposal will be appreciated.

Dear Denise,

a) If you have prepared the draft agreement then just forward the same document with your covering letter for his approval.

b) If you are sending the soft copy then attach the draft agreement to the e-mail.

c) In the main body of the letter or e-mail, write the following:

i) What challenges you were facing and what was the necessity of this agreement

ii) With whom you will have this agreement

iii) What research of the prices of real estate you have done. Are you paying anything extra or less than market? What price the owner had quoted earlier? How did you negotiate and brought it down?

iv) What benefits you will have by utilisation of this parking area?

v) Who will take care of the vehicles parked there? Will you require additional security staff or will the parking be at "owners' risk"?

vi) How you would like to divide the parking area? How many parking slots will be there? How you will apportion them?

vii) Would you like to collect any monthly charges from the employees? If yes then what would be the modus operandi for this collection?

viii) What would be the safety and security of the vehicles? Has Security Officer done "Security Audit' of the area? What are his recommendations? If audit is done then attach the security audit report as Appendix.

ix) Are there overhead High Voltage cables? Is the area free from drainage pipes?

x) Is the area on elevated ground? What are the chances of water logging?

xi) Has the tar topping of the parking area been done? If not would you like to do? What would be expenses for this activity?

You may change the sequence of the above questions.
