I propose that you search for the 'Starter Edition of EmpXtrack' on the web, have a free trial, know the pricing details too & match the same with your budgets. Plan purchase in phases & put in place a globally accepted HRMS. There is no purpose looking for cheaper solutions; your company deserves the best.

Dear Pradeep,
It is good that your organisation plans to automate HR department and it's function, but a simple reason why do you plan to go for a freeware. Instead check the market and your budget how much your company is willing to shell out and accordingly take a decision.
Also you suggest you can try for customised solution from scratch since you are planning to deploy completely new one, this will help you in long term against the off the shelf packages available.

Orange hrm is the best solution for you
It works hassle free and installs seamlessly.
I know a company that provides hosted solution for orange, you can use that if you do not have a server in the office. Since your employees are pan india, hosted solution will make more sense. Else, you need a server in office that is accessible for people from outside also. Don't know if your office allows that.
Also not : it does not have a payroll solution (most hrms solution don't have payroll)
Also : the software is free being open source. But if you need help of experts to implement, then you need to pay for it,

Do you want to have a free trial basis or wanted a software to run HRMS, free of cost? Again what is your company size? Please keep in mind that you cannot rely free software in terms of confidentiality. Considering that, MS Excel will help you better than freeware.
Would suggest you to speak with your management and bring out a standard budget for a software, also please check whether you really want a software, considering the strength of your organization and the modules which you wanted in the software. To recommend, Greytip & Orange are kinda good SAAS application to work with. If you are lucky to score a huge budget, then go for Success Factors, one of the best software which I had ever worked.

I am first looking for HRMS software free of cost. After checking its creditability, i can recommend one for the company. We do have around 90+ staff working on Pan india basis.

I would disagree with 2 of your contentions.

First, lots of large companies run their processes with free and open source software. We work on such software and can vouch for it. For example, we implemented vtiger CRM for a client 5 years ago and it's still running perfectly for them. They have had no issues except having to call someone to help recover lost admin password on 2 occasions.

Confidentiality of data on open source software is the same as with proprietary software. If it is hosted in your own office with complete control with you, then the data remains in your control. If you host it outside, then you must do it with a provider you trust. Fr example amazon, google and Microsoft provide cloud hosting which you can use as they have very strict privacy / data confidentiality terms for their corporate clientele

In fact, open source software are considered safer than proprietary software because their very nature ensures there are no hidden traps or data transfer happening without the knowledge of the users.

Secondly, excel does not compare with a hrm software in any way. It does not provide the controls that the hrm allows nor does it allow employees to directly access their data and update the same. Please tell me how automate leave application and approval of a widely spread out team (in this case 80 persons) in excel ?

Well do not go for fully free software but you can go for some HRMS software that offer trial version and if you satisfied with the trial version then you can upgrade it. Also, make sure to go for the software that offers free technical support 24X7 to get help anytime and avoid any further hassle.
