would anybody please let me know how i can make the folder of the employee from date of joining to date of resination. i want to make the complete data base of his/her employee details plus all his annual leaves & vacations.

The employee files are to be maintained potentially by the HR from any future liability in terms of having each & every information securily stored.

Folders/files are made up of documents and records starting with their -

- Job Description

- Employee's initial application to the post applied

- Resume with offer of employment

- Certificates of the employee

- Receipt of employee handbook

- Training & development given to employee

- Employee benefits given (any)

- Performance appraisals

- Grievences

- Disciplinary actions/ warnings

- Medical Records

- Leave/ Attendance records.

It is always good to have the copies attested or acknowledgment taken from the employee which may help access in order to make decisions about promotions and disciplinary actions.Generally, these personnel files are not only kept for reference but also it is a better business practice, however, to keep employees apprised of what is in their file.

Always keep a track on the papers within each personeel file of the employee. Make specific information available only to people with a need to know. Being in HR files and their papers are literally specific. Hence, they are to be locked in case of Physical files and secured with paswords in case of e-files.
