I have not posted this query only for vendor update but i was seeking any expert guidance, help from any peers who has prior done this kind of exercise or has knowledge on this domain of digitization. Even i am aware that looking at my post interested vendors may get in touch with me however if you look at my post its also regarding gaining knowledge about how to proceed for the same if there is already an ERP system implemented in the organization & get advantage of the same.

There are vendors who are willing to do this for you on completely outsourced basis for a very reasonable sum (got it done for a client 3 months ago). You can get a good document management system to manage the data. Added advantage is that the document management system need not be confined to hr but can be used by other departments also (ensure that your security settings are right so non- hr guys can't access your files)
For the portal part, it depends on what software you use.
I have used orange hrm at one point. It had options for storing scanned documents. I am sure most of the current hrm software will have it too. Portal is useful of course if you want the users to access it in a structured manner, else, a document management system (dms) will do just as well, or perhaps it will do better.
I have not seen the latest sap-hr module. But I saw a demo a year back and I think the facility of loading scanned docs to a employee master was there, can't recall.
