Hi All,
Just wanted to know about the below points / doubts:
1)If an organization moves towards total digitization of personnel file management ( i.e maintaining complete scan docs of personnel file in portal or erp based) how to go about the same?
2)If there is SAP implemented for HR then how to go about it.
3)Also if there is any possibility of creating separate portal to access/ upload the docs as er the life cycle management process.
4) Finally any vendor organization you are aware working in such domain/field??

I suggest you to await for Vendors who would respond to you shortly on their services offered. If you are looking to avail their benefits, you will be given their specs to understand the best need to your organization.

Hi Sharmila,
I have not posted this query only for vendor update but i was seeking any expert guidance, help from any peers who has prior done this kind of exercise or has knowledge on this domain of digitization. Even i am aware that looking at my post interested vendors may get in touch with me however if you look at my post its also regarding gaining knowledge about how to proceed for the same if there is already an ERP system implemented in the organization & get advantage of the same.

Digitalisation of existing documents is the easiest of the things.

There are vendors who are willing to do this for you on completely outsourced basis for a very reasonable sum (got it done for a client 3 months ago). You can get a good document management system to manage the data. Added advantage is that the document management system need not be confined to hr but can be used by other departments also (ensure that your security settings are right so non- hr guys can't access your files)

For the portal part, it depends on what software you use.

I have used orange hrm at one point. It had options for storing scanned documents. I am sure most of the current hrm software will have it too. Portal is useful of course if you want the users to access it in a structured manner, else, a document management system (dms) will do just as well, or perhaps it will do better.

I have not seen the latest sap-hr module. But I saw a demo a year back and I think the facility of loading scanned docs to a employee master was there, can't recall.

Dear Sagar, Regarding SAP I don't know but for small organisations we can create the files by scanned copies in Acess 2007. by way of attachments as well as we can upload their interview vedios also. Try it.
