Hi Naren,

I suggest you formulate a policy and circulate a memo to all staff along the following lines:

MEMO



The forthcoming trip is an opportunity for us all to get together in an informal way to ........... It is also an opportunity for the Company to say thank you to everyone for your effort and commitment over the past year.

We hope that you will all enjoy the trip and wake up the following morning with a relatively clear head and no regrets! With this in mind, we ask you to note the following Company guidelines in relation to the trip:

• Remember that the trip is a work-related activity. Your behavior is therefore governed by the Company’s disciplinary procedure. It goes without saying that you should not get, get involved in any arguments, harassment, or other similar unwanted behavior either at the event or on your way home afterwards. Remember that you are in the company of your work colleagues to whom you owe a duty to behave reasonably and honorably. Remember that you will have to face those same colleagues at work the following day!

• Do not get involved in unnecessary arguments.

• Do not attempt to become “too friendly” with any of your work colleagues. We will take any allegations of harassment seriously and, if appropriate, deal with them as disciplinary issues.

• We would particularly remind colleagues in supervisory or management posts that they are in positions of trust and that their behaviour should set a good example to other colleagues. Remember that you represent the Company!

• All employees are expected to be back at work on (date), unless you have requested, and been granted, leave in accordance with the Company’s standard procedure.

• Any unacceptable behavior will be dealt with, if necessary under the formal disciplinary procedure, which could in extreme cases result in dismissal.

Most of the above problems can easily be avoided if we all exercise restraint. Please play your part in this, and ensure that the trip is memorable for all the right reasons!

REMEMBER that you are Ambassadors of the Company !!



POLICY

1. The aim of holding a trip is to foster a greater sense of team spirit in the Company by giving all employees the chance to meet and socialize in a relaxed, informal and enjoyable environment, and for the Company to show its appreciation to all employees for their commitment and effort over the past (number of )months.

2. In organizing the trip, the Company will aim to follow the guidelines given below to ensure that all employees have an enjoyable time while exercising restraint in their behavior towards fellow work colleagues and others.

3. When organizing the trip, the Company will:

• Consider the party to be a work related activity and expect all employees to comply with the requirements of the Company’s disciplinary procedure both at the event and on the way home afterwards;

• Issue guidelines to employees in relation to the levels of conduct and behavior expected of employees both at the trip and on their way home, including a warning that the trip is a “work-related activity” and that employees may therefore be subject to the Company’s disciplinary proceedings if they fail to comply with these guidelines;

• Neither fund nor condone the consumption of alcohol at the event;

The Company makes it clear to all employees that it expects employees to abide by the following guidelines at the party and on their way home:

• That they will at all times behave in a friendly, civil, respectful and sensible manner towards their work colleagues, employees of the venue, s and any other person they encounter;

• That, if they consume alcohol, they will do so responsibly and with restraint;

• That they will not become involved in any brawling, fighting or other physical violence towards either work colleagues or any other person;

• That they will not harass, sexually harass, bully or otherwise act abusively towards any other work colleague or other person present at the venue or on the way home;

• That they will not “flirt” with other work colleagues;

• That they will not use foul language;

• That they will not either intentionally or unintentionally disclose confidential information relating to the company to any person not entitled to receive it;
