I need a payroll Management (Tips & structure) for Maintaining the payroll
of the employee. plus terms related to Payroll management.

Payroll is the salary processing system.

Payroll can be seen from two aspects. One is from HR side and other from commercial people side. The HR persons process the payroll by means of sending attendance details or better say LWP details and other complete details that an employee is going to get in a particular month.

And after receiving those details the commercial people start making entry into payroll software and can be said start salary processing.

Well while processing salary fro a particular month we the HR personals provide complete LWP (Leave without Pay) details to the commercial dept.

While calculating LWP, we prepare the attendance sheet with teh weekly offs. And apart from weekly offs we check how many days an employee is absent, out of which how many days he was on leave that we crosscheck with leave applications. If the particular employee has given the approved leave application form and that leave is been there in his account then we put him on leave.

But If the person has not submitted the leave application form or he doesn't have any leave in his balance then for that particular day that employee will be assumed absent, and we will deduct his salary for that day.

Similarly if there is any provision to provide one days extra salary for an specific day if the employee does come, then we calculate one day extra salary for those employees who were present on that day.

I am Sending the Pay structure per month.

6 S.P.A. Basic+HRA+C.A.+Medical+Educ. - Gross

DEDUCTIONS

1 P.F. 12% on Basic

2 E.S.I. 1.75% on Gross, If Gross <=7500

3 P.Tax Salary up to 2001 Rs. 16.00

Salary up to 3001 Rs. 25.00

Salary up to 4001 Rs. 35.00

Salary up to 5001 Rs. 45.00

Salary up to 6001 Rs. 60.00

Salary up to 10001 Rs. 80.00

Salary up to 15001 Rs. 100.00

Salary up to 20001 Rs. 150.00

Salary above 20001 Rs. 200.00

Payroll is divided in two parts viz

Monthly payroll which includes the following

* Basic salary

* HRA - 50 % of basic for four major metros & 40% for other metros

* Conveyance - Rs 800/p.m. if excess would be added to taxable salary

* Special allowance

Annual payroll

* Medical Reimbursement - Rs 15,000/- max p.a.

* LTA

* Meal Vouchers - Rs 50 per working day paid through Sodexho/Accor vouchers..

In payroll on monthly basis - monthly break up is paid and is subject to the following deductions viz:-

Monthly payroll

less -

Provident Fund - 12% of the basic

Profesional Tax - Rs 200 ( varies from state to state)

Income Tax -

Other deductions - like loans or advances etc

Net take home - Rs ....

Hi Sudhansu,
The contents of the salary break up is as below, you can prepare it at the suitability of your own. HRA would be 50 or 60% of basic.
Basic
HRA
CCA - 825/- is exempted from tax
Other Allowance
Mobile Reimbursement
Medical Reimbursement of 1250/month is exempted from tax
Gross Per Month = Sum of all the above.
Gross Per Annum= 12*Gross/Month
PF Contribution= 12% of Basic/Annum
ESI Contribution = 4.75% of Gross/Annum
Medical = The mediclaim facility provided to an employee who are not covered under ESI as the maximum ceiling for ESI is 10000/Month.
Getting more than this will be covered under Mediclaim or it depends on company policy
EX-Gratia/Bonus = A fixed amount as Bonus
Annual Fixed Gross Cost= Gross/Annum+ Ex-gratia
Annual Total Cost = AFGC + PF+ESIC
Annual total cost is also called as CTC.

To decide the Travel allowance we prepare a travel policy which include all the details of applicability according to the grades of employees.

The permanent employee gets the complete salary break-up. salary slip, get appraised, and all the benefits described in the policy. Whereas temporary employees mostly gets a fix stipend. They are for certain period, they can't claim of other benefits which permanents are getting.

Yes temporary are also suppose to grant casual leaves.

Hi,
I am working in a company which is mainly marketing base. For marketing people the salary structure is mainly devide in two parts-Fixed and Variable. Variable part is depend upon target achievement.
Now suppose, one employee of marketing dept. has taken 2 days unauthorised leave(LWP) in a month. but he achieve his 100% target for this month.
Here my question is -Should I diduct his two days full salary(fixed+variable) or just only his two days fixed salary?
