Dear All
As of now we just celebrated two birthdays by sending a wish mail and giving gift by collecting money from our employees.As our director didn't confirmed whether the co is going to contribute for cake n snacks ,we couldn't cut the cake but one of the employee is of the opinion that we should celebrate by going out n having lunch n cake cuttings.otherwise we should stop this celebration .I am really in a confusion status.Director is not confirming me on Birthday celebration.Can anyone guide me please

Birthday celebrations are celebrated to motivate & boost the morale of an employee... Usually small things will do us big favors... where most of the companies think that it adds to the cost of the company...!!!
If your director is not agreeing.. do not ask him again... Yourself with your group of employees can contribute and do the celebrations..
the respective department members can contribute & celebrate on their own.

It is not that he dont want to contribute he is just busy with many schedules that he is not able to respond to me regarding this .But being a HR i just dont want to stop the celebration .can you help me with any draft mail with which i can communicate to employees about voluntary contributions about birthday without disclosing the fact that i didnt get any confirmation from management.I dont want to tell them that management is not confirming about their contribution
It would be great if can help me with such mail format

To make this a special moment for our employees, we are glad to inform that we would celebrate our employees' birthday..to make it to them a very memorable and a joyful moment for them..w.e.f. ....(whatever date you are planning to start with).
To achieve the joy & to capture the special moments of the celebrations, we would request our employees to contribute heartily and support us..
Like the saying... When your purse is emptied..your heart gets filled.. we hope, our employees will always support and encourage us.."

Please make a file note and send to your director for approval. If he approves then you can make it in company cost itself. In that file note you can even mention the estimated expenditure of the birthday celebration per employee. If he is not interested then obviously he will call you and tell you something or he can reject the file note without approving. Then you can simply stop the celebration. But you can send a greeting card to the employee on his birthday. Make sure that the greeting card will be signed by the same director.

As per our IT person we should celebrate by arranging lunch and other stuff.But other employees have not given any response till now.As of now they are contributing for the card and gift.But IT per says we should celebrate in a joyfull way otherwise we should stop this.Can you please suggest what are the things i can include in a file note

If you go for lunch and other events it will waste the office hours. You can make a note and place it on the notice board on daily basis and instruct the staff to assemble at Assembly point after lunch hour. You can simply cut a cake and it must be finished within 15 minutes. If it prolongs then the work will get hampered. That might be the reason your director is not showing any interest in organising the Birthday celebration. For a small gift and a Greeting Card normally your director may not refuse. Please discuss with him personally and go for some file note and approval procedure.

Hi,
Just thought of sharing celebration of birthdays in our company ................
We also celebrate Birthday's of employees in our company. As an HR person, I have personal data wherein I keep a record of everyones birthday. A day before the Birthday, I place a birthday card besides the login register and all employees either put their initial or some even write something in the card or just wish the b'day person (some even draw cute faces). This card is handover to the employee on b'day with a small birthday song in the begnning of the day and by afternoon we just have a ice cream party (which is not expensive to the company). Hence the cost is also not much and time management is also taken care.

In my organization, we do celebrate birthdays of employees... that too at the end of the month.... Last working saturday is fixed for this celebration...
We have taken approval from Management.. (fixed amount) for cakes, snacks, cold drinks, etc..
We give the responsibility to diff. departments for organizing the get-together every month & they also have to come up with games... to keep crowd engaged in the event.
