Hi All,

I am working in a tea manufacturing company. I am one month old in the organization. I have been asked to find out reason and solution for why employees are not working when the chairman/owner is not in office.

Kindly share your thoughts.

The organization consist of 50 to 60 employees at head office.The average age is 40 to 45. I have 1.4 years of experience in HR. I working as an HR executive and am the only HR in the company. my role is creating and structuring the org policy and HRD.Now I need to find out diffenernt ways in which we can stop this attitude of employees and why they have developed this attitude toward the organization.

It is a manufacturing company , But I am working in the head office where the official staff takes place.Yes I can measure their weekly performance but it will not be possible to measure their daily performance .

You can give more inputs if you want.

Same here in my office, actually one quote is here jaha darrr ni waha respect nai so boss is our fear and when he/she not coming its out for our mind thats the reason we and not working .
Because in a job that mean just obey your boss.

Kindly give more information about your organisation (number of workers, your role, etc). There is a saying in English "When the cat is out the mice will play". Is there no target set for workers?

Hi Harsheeta, I do understand when the boss is not around people are not working, but how to fix this issue as an HR, what are the things necessary to over come such situation. Regards, Aparna

you told them if you are not working properly i will do complaint for the same or as an HR you have a rights to complaint to your boss and even you have to be strict on that .

Hi Aparna,
I understood your situation over there, i have a plan to avoid these things in your organization.
Who are not working when boss was not there, find them and try to motivate them.
If any changes from the person in the future yes it is working what you motivating..
If its not working, create one warning letter and issue to that person, the warning letter you give 2 times if the person repeating the same.
Same person caught by 3rd time issue warning letter and termination letter. If you could do this 2-3 persons yes no one repeat the same in an organization.
Please discuss on this with your boss and implement it from your HR Department side.

Without detailed information about the scenario, it's like "stabbing in the dark". Please correct me if I have mistaken the scenario.As I gather, it's a family owned company and you are concerned about the people in the head-office idling when the owner is away from work. You are not complaining about shop-floor workers in the manufacturing plant.

Dear Aparna,

If the employees are not working if the Head, Owner / Head then it means the employees don't have any fixed target.

Each employee has to be measured for their contribution and appraised based on that. There should be weekly review for what the team has done.

In the big companies the CEO / Chairman / owner is not present but the work goes continuous because each and every department employees are responsible for the result every day and review on weekly basis.

Since you are in a manufacturing company you would be having a day target to be achieved. whether it is been achieved.

See in business like banking,Insurance, retail, consultancy each and every individual has a daily target but there will be many days where the individual/team don't achieve the target since due to external issues like shopper walking to store, customer willingness to buy, Candidate willing to join the company, individual willing to open account, deposit money etc.

But in case of Manufacturing industry if the raw material / procurement function is going without any problem the plant has to deliver what ever they have planned. Even if one department / Line is making mistake the entire process will be delayed.

So check whether each employees has been given any target to accomplish on a single day. Whether they are fully engaged for the hours they work. When this both are corrected even the manager / HOD/ CEO / Chairman who ever don't come or present the work goes on continuously.

You have understood right. It is a family owned company.When the owner is in office people work may be due to fear and when he is not around the situation is bit different.

Dear Aparna,

As you said it is a family owned ask the chairman/ owner to have a MIS meeting on weekly or monthly basis with the department heads.

In the next month MIS meeting ask the chairman to review the status of Last MIS meeting and check whether it has been corrected / rectified or the case may be. If this continues for 2-3 months each one will be aware of that the chairman is tracking the status every month and also they also have the fear to work more to present well in the next MIS meeting.

Since you get the weekly performance, Introduce daily performance sheet that has to be sent to the owner on daily basis.

Request you to have a market study of the daily production and compare with your company production and implement in the company based on job study.

Moreover down the line recruit youngster and replace the non - performer with the help of owner.

In a family owned company you have to be more diplomatic in conveying the message since may of the staffs would be joined through owner reference or relatives. Even while conveying to the owner you have to justify for each and everything you are going to implement so that he will agree to the decision what you take.

In today's scenario every owner is ready to change from old / traditional methods to professional style of working.
