I am working in HR department in petrochemical plant as a member of the recruitment team where we recruit national and expats as well and today I recieved the below email from my manager and don't know what to do as I haven't done it before!!??
The email:
you will be the main focal point to handle the recruitment database updates and reporting (replacing .......). Your role is to collect the feedback / status of the recruitment from the recruitment team for each stage and update the system and then generate reports on format that to be agreed on.
I need your help..
Is there any Excel sheet ready to fill the whole recruitment processes from Screening of the applicants CV's to joining the company.

Welcome to the world where people create confusion and heartache for new joinees. This is very typical in all companies in our Saudi Arabia, with very few actually having an induction.
Do following immediately:

1. Go to all the recruitment team and seek guidance from them on types of excel sheet they maintain for recruitment.
2. Understand and seek insight on what systems your companies uses to maintain the candidate database in Excel or using software (SAP, Custom Software) etc. for the entire recruitment process.
3. Ask the recruitment team what types of reports they give to manager and how often.
4. Collect all the information and make your report.

Thanks Ukmitra I have already asked them but, they have many different formats and to combine them is not easy job. (Specifically creating the Excel sheet for such job)

Yes, it is and I am sure you can. The trick here is to use an excellent excel feature called "Pivot Table". Wish all the Best.

Here I have attached a crude form of reporting and you need to polish it bit. I am sure you know how to use "Pivot Table".
I have made few changes to your excel sheet.
1. You need to add "Nationality" Column in the excel sheet for the report.
2. I have removed the "Time column" against "Prescreen" and 'final Interview" (put them if have need for any analysis)
3. I have also changed name of few Columns. Have a look.
4. I have made some random entries of candidate names for the report to look meaningful.
5. Report is created in 3rdSheet named "Reports" using Pivot table with data from 2ndSheet named "ukmitra".
6. I have created this report with Nationality as base (note that Nationality is appearing in first column in report)
7. You can make your reports for all the column heads by placing them in First to create reports like "Accepted wise", "Fit/Unit Wise" etc. Hoping I am making sense.

Hi Siddhi,
To keep it simple, I would give a 'checklist' not of the tasks, but of the areas.
(1) Compliance: Please check which legal compliance is mandatory for your organization. Talk to seniors and refresh your Labor Laws / IR notes and prepare a list of tasks that you would complete. Get your supervisor to agree with your plan of action.
(2) Urgent tasks: Check if you need to take over some of the HR operations, for example the leave and payroll tasks before the month ends. Have employees sent you any requests for processing? If so, you also have to respond to those in timely and accurate fashion. The examples are leave applications, medical or travel related correspondence. These are basically related to employee pay, benefits, and HR policy-related matters.
(3) Important but not urgent tasks: There may be some tasks which are important to complete, but they are not urgent yet. For example, there may be a need to prepare HR Policy manual, which your organization doesn't have, but preparing it may be desirable. You need to work on it, of course.
These are very broad guidelines, and you are welcome to ask any further questions.
